Job Summary:

The Medical Assistant will work closely with the Agency Nurse to ensure quality medical care is provided to the Persons Supported by Nia Association. This role involves coordinating with the Registered Nurse to ensure all appointments and calendars are up-to-date. The Medical Assistant must have the knowledge, skills, and values to perform in an exemplary manner and work independently.

Key Responsibilities:

  • Maintain a monthly calendar of appointments for the individuals supported and ensure Program Coordinators and other staff are informed of all appointments and scheduled changes.
  • Work with QA to prepare the Medical 30/30 monthly report for medical variances.
  • Ensure all medical files are organized and up-to-date.
  • Collaborate with Services and QA for End of Month filing, scanning, and distribution.
  • Use Therap to manage medical information for each client.
  • Review and assist with the Medication Administration Report (MAR), prescriptions, and medication profile prior to release to homes.
  • Work with the RN/ED to review medical profile sheets when medicine changes occur to prevent duplicate/triplicate scripts.
  • Fax new prescriptions or refills to designated pharmacies in a timely manner.
  • Obtain lab results, vitals, and other medical procedures per DIDD and Nia standards.
  • Inform the Registered Nurse of all actions related to prescriptions, refills, labs, vitals, and other medical information.
  • Work with the department of services to replenish First Aid Kit supplies per Agency policy.
  • Discuss medication passes and the seven rights of medication administration with direct care staff to ensure compliance.
  • Coordinate with the Agency Nurse or certified staff for the disposal of medication and maintenance of controlled substance inventory and count sheets.
  • Work with the Executive Director/Registered Nurse to ensure Domain 5 is upheld and the Provider Agency meets medical mandates and directives.
  • Collaborate with RN to ensure all after-hours medical emergencies are fulfilled within the hour.
  • Obtain and record vital signs and weight on a monthly basis for the Persons Supported.
  • Assess situations in the absence of the ED/Agency Nurse and notify ED/RN or MD as needed.
  • Confer with physicians as needed regarding protocols or treatment plans and relay information to the Registered Nurse.
  • Report significant weight gain/loss, vitals, and other concerns to the Agency Nurse, Practitioners, and Executive Management Team in a timely manner.

Medication Pickup:

  • Ensure medication is picked up from pharmacies when ready.
  • Communicate with Services regarding medication packaging.
  • Distribute medication to Home Directors during the last week of the month.
  • Perform mandatory checks prior to departing the pharmacy and handing over medication to Program Coordinator/Home Director or Direct Care staff.
