Job Summary:

The Volunteer Program Coordinator is responsible for supporting all facets of the Volunteer Services through office management to improve operational efficiency and effectiveness. The coordinator recruits, interviews, and vets all new volunteers, ensuring that all DNV and state requirements are met. The coordinator carefully matches volunteers with the appropriate roles and ensures training and other requirements are met. The coordinator helps implement special volunteer programs, while always looking for ways to improve and grow the program.

The coordinator manages volunteers in People Soft and the volunteer software and ensures that all background checks, health screenings, and annual EOLs are met.

The coordinator also assists the Director of Volunteer Services with Auxiliary and Board initiatives.

Department Position Summary:

  • Assists in all aspects of Volunteer Services.
  • Creates, types, and distributes letters, memos, newsletters, agendas, minutes, and other documents as needed to support the Volunteer Program.
  • Coordinates the requisition of necessary office supplies and other purchases for all Volunteer Services staff and Auxiliary.
  • Schedules and organizes details for volunteer meetings and events.
  • Encourages and maintains a standard of warmth, friendliness, and prompt attention to all visitors, volunteers, and others.
  • Maintains strict standards of confidentiality regarding volunteer and patient information.
  • Assists with creation of appropriate materials to provide information about Erlanger Health and the volunteer program to prospective volunteers.
  • Assists with creation and maintenance of appropriate applications for volunteer applicants to prescreen those applying for a volunteer position.
  • Schedules applicant interviews and conducts interviews for volunteer positions and selects persons who share similar values and philosophy with the health system.
  • Coordinates pet therapy program, including onboarding, scheduling, and assisting therapy dog owners on visits.
  • Responsible for and updates of service guidelines for all Volunteer Services positions at all Erlanger Health System locations.
  • Coordinates annual health screenings for all volunteers to assure continued compliance with DNV and state requirements and Erlanger policies.
  • Establishes and maintains a close working relationship with all volunteers, including keeping informed of all activities and lending support to the volunteers as needed.
  • Maintains office files and Auxiliary records.
  • Maintains records of volunteer hours worked and prepares regular productivity reports with the volunteer services computer system.
  • Assists in planning and coordination of Auxiliary fundraising sales.
  • Oversees annual volunteer training.
  • Helps maintain all volunteer records, including screening information, TB test results, etc., in an organized and accessible manner.
  • Helps complete all Human Resource-mandated reference checks, sanction checks, and criminal background checks.
  • Coordinates volunteer events, including recognition banquets, National Volunteer Week, recruitment fairs, holiday celebrations.
  • Assists Gift Shop staff and volunteers as needed.
