ROLE OBJECTIVE: The Scheduler is tasked with the vital responsibility of orchestrating services between clients and caregivers, ensuring effective scheduling, adequate staffing, and continuity of care tailored to the clients' needs. This position reports directly to the Office Administrator.

ABOUT VISITING ANGELS MID MAINE:
Visiting Angels Mid Maine stands as the premier provider of senior home care services in the region. Our esteemed caregiving team supports clients with daily living activities, allowing them to maintain their independence while receiving essential personal care.

KEY RESPONSIBILITIES:

  • Coordinate caregiver schedules for new clients and manage open hours for existing cases, ensuring consistency in caregiver-client pairings.
  • Maintain and update computer schedules, ensuring timely data entry for both clients and caregivers.
  • Communicate with clients and caregivers regarding any scheduling changes on a daily basis.
  • Input and maintain accurate client and caregiver information in the database.
  • Regularly monitor completed shifts, making necessary adjustments to facilitate accurate payroll and billing processes.
  • Provide updates to the direct supervisor regarding any unstaffed shifts after thorough efforts to fill them.
  • Report caregiver supply and demand to the recruitment and retention coordinator in a timely manner.
  • Reinforce and communicate the policies and procedures of Visiting Angels.
  • Refer pertinent matters to the Director for guidance.
  • Perform general office tasks, including word processing, filing, reception, and telephone duties.
  • Participate in evaluations and performance improvement plans for the caregiver team.
  • Foster positive relationships with clients, their families, caregivers, prospective employees, team members, and referral sources.
  • Uphold confidentiality regarding all employee and client information.
  • Exhibit dependability and reliability in all tasks.
  • Maintain professionalism and provide support to the caregiver team.
  • Be available for on-call duties during evenings and weekends as required, ensuring all materials are current with client information and staffing rosters.
  • Perform additional duties as assigned by the management team.

REQUIRED QUALIFICATIONS:

  • High school diploma with a minimum of two years of experience in an office environment, preferably in private duty home care.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) and scheduling systems relevant to the healthcare industry.
  • Strong verbal and written communication skills, with the ability to listen and convey information clearly and diplomatically.
  • Ability to remain adaptable, composed, and maintain a sense of humor while presenting a professional appearance.
  • Strong organizational skills with the ability to prioritize tasks and work independently with minimal supervision.
  • Commitment to client service excellence and fostering goodwill with staff, clients, and referral sources.
  • Eligibility to work legally in the U.S.

PHYSICAL AND ENVIRONMENTAL REQUIREMENTS:

  • Ability to sit, stand, bend, reach, walk, and climb stairs intermittently throughout the workday.
  • Capability to lift a minimum of 50 lbs.
  • Must have adequate vision and hearing or utilize prosthetics to ensure effective communication and task completion.
  • Ability to operate office equipment proficiently.
  • Maintain effective communication with co-workers, supervisors, clients, and other business associates.
  • All physical demands are subject to ADA requirements.
