ROLE OBJECTIVE: The Scheduler plays a crucial role in managing the logistics of service delivery between clients and caregivers. This includes crafting schedules, ensuring adequate staffing, and maintaining continuity of care to effectively address client needs. This position reports directly to the Office Administrator.

ABOUT VISITING ANGELS MID MAINE:
Visiting Angels Mid Maine is a premier provider of senior home care services in the region. Our dedicated caregiving team supports clients with daily living activities, allowing them to maintain their independence while receiving essential personal care.

KEY RESPONSIBILITIES:

  • Coordinate caregiver schedules for new clients and manage open shifts for existing cases, ensuring consistency in caregiver-client assignments.
  • Maintain and update computer schedules, ensuring timely data entry for both clients and caregivers.
  • Communicate with clients and caregivers regarding any scheduling adjustments.
  • Input and maintain client and caregiver records in the database.
  • Regularly monitor completed shifts and make necessary corrections to facilitate accurate payroll and billing processes.
  • Provide updates to the direct supervisor regarding any unfilled shifts after exhaustive staffing efforts.
  • Report caregiver supply and demand trends to the recruitment and retention coordinator.
  • Uphold and communicate the policies and procedures of Visiting Angels.
  • Refer relevant matters to the Director for further guidance.
  • Perform general office tasks including word processing, filing, reception, and telephone duties.
  • Participate in evaluations and performance improvement plans for the caregiver team.
  • Foster positive relationships with clients, their families, prospective clients, caregivers, and team members.
  • Ensure confidentiality of all employee and client information.
  • Exhibit dependability and reliability in all tasks.
  • Maintain professionalism and provide support to the caregiver team.
  • Be available for on-call duties during evenings and weekends as needed, ensuring that all on-call materials are up-to-date.
  • Carry out additional tasks as assigned by the management team.

REQUIRED QUALIFICATIONS:

  • High school diploma with a minimum of two years' experience in an office environment, preferably in private duty home care.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) and scheduling software.
  • Strong communication skills, both verbal and written, with the ability to listen and convey information clearly.
  • Ability to remain adaptable, composed, and maintain a sense of humor in a dynamic work environment.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines independently.
  • Commitment to client service excellence and fostering goodwill within the agency.
  • Eligibility to work legally in the U.S.

PHYSICAL REQUIREMENTS:

  • Ability to sit, stand, bend, reach, walk, and climb stairs throughout the workday.
  • Must be able to lift at least 50 lbs.
  • Must possess adequate vision and hearing, or use prosthetics to ensure effective communication and task completion.
  • Proficient in operating office equipment.
  • Must maintain effective communication with colleagues, supervisors, clients, and vendors.
  • All physical demands are in accordance with ADA requirements.
