Job Summary:

We are seeking a highly organized and proactive Administrative Assistant to support daily operations. The successful candidate will be responsible for a wide range of administrative tasks, including managing correspondence, scheduling meetings, preparing reports, and maintaining office systems. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:
  • Office Support: Manage office supplies, ensure equipment is maintained, and handle general administrative tasks.
  • Communication: Answer phone calls, emails, and other forms of communication, ensuring messages are relayed and followed up appropriately.
  • Scheduling: Coordinate and manage appointments, meetings, and events, including room reservations and meeting logistics.
  • Data Management: Maintain databases, filing systems, and records, ensuring accuracy and confidentiality.
  • Correspondence: Draft and distribute official correspondence, emails, and memos on behalf of the organization or team.
  • Project Support: Assist in organizing and executing projects, tracking deadlines, and ensuring tasks are completed on time.
  • Client Interaction: Greet visitors and clients, providing them with information and directing them to the appropriate person or department.
  • Other Duties: Perform additional administrative duties as assigned by management.
Qualifications:
  • High school diploma or equivalent (Associate's degree or administrative certification preferred).
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to handle sensitive information with discretion.
  • Problem-solving abilities and the capacity to work independently.
