Under general oversight, the Finance Operations Manager is tasked with the proficient administration of the Finance Department, encompassing accounting, payments, filings, budgeting, and information systems through the execution of the following responsibilities:
- Design, execute, and uphold robust accounting frameworks and methodologies that ensure precise identification and prompt reporting of operational revenues and expenditures.
- Oversee the creation and maintenance of financial control mechanisms to guarantee proper oversight of revenues and expenditures across all operational tiers.
- Supervise all accounting activities, including payroll, accounts payable, and accounts receivable.
- Offer guidance and support to various departments in the formulation and oversight of budgets.
- Act as a liaison for departments, addressing inquiries regarding transaction processing or budget preparation.
- Provide strategic advice to departments on the utilization of automated systems, ensuring optimal operational efficiency.
- Guarantee the accuracy and integrity of financial records.
- Ensure effective billing and collection practices; deliver monthly, quarterly, and annual financial statements along with other necessary reports.
- Maintain strong vendor relationships and ensure timely payment of invoices.
- Oversee all banking operations.
- Conduct internal audits and implement internal control measures.
- Keep department heads informed of significant developments and provide timely recommendations regarding financial matters.
- Collaborate with department heads to develop the annual operating budget.
- Partner with the CFO and FP&A in the preparation of the annual operating budget, reviewing and analyzing divisional budget requests and establishing organizational budget priorities.
- Assist the CFO in both short-term and long-term strategic planning, addressing future financial resource needs and consolidating these plans into actionable recommendations.
- Execute special projects and assignments as directed by the CFO.
- Manage the maintenance and storage of financial documentation.
- Oversee audits, including IRS and external audits.
- Administer the information management system for the organization.
- Set goals, objectives, and performance standards; develop and implement operational policies and procedures for the department.
- Ensure a safe and productive environment for all stakeholders.
- Exhibit professionalism in all interactions with the public and represent the organization with the highest standards.
- Establish and maintain effective working relationships with colleagues and other departmental personnel, adhering to organizational guidelines.
- Provide support to other departments as necessary.
- Contribute to conservation efforts by minimizing waste, water, and energy usage, while inspiring guests and team members to engage in sustainable practices.
- Perform other related duties as required to achieve departmental objectives.
- Bachelor's degree in business, accounting, or finance, or a recognized professional accounting designation, or equivalent relevant experience.
- Comprehensive knowledge of contemporary computer-based accounting systems and methodologies.
- Ability to assess and evaluate program effectiveness, identifying necessary changes for improvement with minimal supervision.
- Valid driver's license.
- Must meet insurance requirements for the organization's automobile policy.
- Self-motivated individual requiring minimal oversight.
- Ability to manage deadlines effectively.
- Proficient in modern ERP systems, including accounting, payroll, and point-of-sale systems.
- Strong analytical skills with the capability to develop and implement suitable financial and administrative systems.
- High proficiency in Microsoft Office, particularly Excel.
- Familiarity with generally accepted accounting principles (GAAP).
- Experience in non-profit accounting, including knowledge of form 990 preparation and management of restricted funds, is preferred.
- Ability to conduct thorough financial analyses and provide sound recommendations for enhancing program efficiency and performance.
- In-depth understanding of current payroll, budgeting, and cash management techniques.
- Excellent organizational skills with a keen attention to detail.
- Strong mathematical aptitude.
- Effective communication skills, both written and verbal.
- Ability to build professional relationships with other institutions and organizations.
- Strong interpersonal, communication, and leadership abilities.
- Capacity to make independent decisions in line with established policies and procedures.
