Role Summary
The Administrative Executive Coordinator will deliver comprehensive administrative assistance to the Chief Health Systems and Finance Officer (CHSFO) while facilitating communication and scheduling for the Health and Hunger Taskforce.
Key Responsibilities
1. **Executive Support for CHSFO**
- Oversee the calendar of the Chief Health Systems and Finance Officer, arranging meetings and notifications.
- Provide daily briefings to the CHSFO regarding appointments and commitments.
- Prioritize and manage email correspondence for the CHSFO, responding to routine inquiries.
- Coordinate travel arrangements and compile expense reports for submission.
- Assist in managing purchasing needs for the office, consolidating requests as they arise.
- Organize appointments for Finance Committee board meetings, ensuring accurate contact information management.
- Prepare and distribute meeting packets for Finance Committee board meetings, accurately recording meeting minutes.
- Coordinate logistics for events and special meetings, including catering and technology setup.
2. **Administrative Support for Health and Hunger Task Force**
- Act as the primary contact for participants seeking information about the Health and Hunger Task Force programs.
- Maintain consistent communication with Taskforce members.
- Schedule meetings for the Taskforce and related committees, providing timely notifications.
- Develop and maintain digital filing systems for detailed record-keeping required for funding.
- Track and manage required training for programmatic staff.
- Support data entry across multiple systems as needed.
- Prepare materials for presentations and training sessions, including printing and assembling binders and developing presentations.
- Assist in the preparation of departmental and program reports.
- Attend all necessary training sessions and meetings.
Qualifications
- High school diploma or equivalent.
- Minimum of three years of experience in an administrative capacity supporting executive-level personnel.
- Highly organized with the ability to manage multiple tasks in a dynamic environment.
- Strong written and verbal communication skills with internal and external stakeholders.
- Exceptional discretion and confidentiality in handling sensitive information.
- Ability to work independently with minimal supervision and manage time effectively.
- Demonstrated problem-solving and critical thinking skills.
- Proficient in Microsoft Office Suite (especially Excel, Outlook, and PowerPoint), Zoom, Teams, Dropbox, and Google Drive.
- Ability to engage with diverse populations with sensitivity and cultural awareness.
Preferred Skills
- Bilingual in Spanish or Creole.
- Experience in hunger-relief advocacy or social justice initiatives.
