Position Overview

The primary function of this role is to act as the key administrative support, executing a variety of clerical and organizational tasks that enhance the efficiency of the office.

Key Responsibilities
  • Drafts and finalizes a broad range of routine and specialized correspondence, reports, and documentation, ensuring accuracy and professionalism.
  • Composes and signs non-technical correspondence on behalf of the supervisor or in one's own capacity as the secretary.
  • Manages incoming and outgoing communications, including mail and materials, ensuring proper routing and handling.
  • Filters incoming correspondence to determine the urgency and appropriate action required, directing inquiries to the relevant personnel.
  • Handles phone calls and greets visitors, assessing their needs and directing them to the appropriate office or staff member.
  • Maintains the supervisor's calendar, coordinating meetings and appointments in alignment with organizational priorities.
  • Schedules meetings and appointments autonomously, adhering to the supervisor's directives and preferences.
  • Performs additional administrative tasks to support the overall function of the office.
  • Establishes and maintains office procedures and records to promote efficient operations.
  • Utilizes various office automation software to produce complex documents, including reports with intricate formatting, graphics, and tables.
  • Independently plans and executes advanced office automation tasks, employing diverse methods to address specific project needs.
Qualifications

To qualify for this position, candidates must meet the specialized experience criteria as outlined in the Office of Personnel Management (OPM) Qualification Standards for Clerical and Administrative Support Roles.

Specialized Experience

Applicants should possess at least one year of specialized experience at the GS-05 level or equivalent, demonstrating a solid understanding of the organization's operational priorities and the ability to manage non-routine assignments effectively.

Knowledge, Skills, and Abilities
  • Comprehensive knowledge of office procedures and protocols to perform administrative tasks efficiently.
  • Proficiency in grammar, spelling, punctuation, and formatting to prepare and edit documents accurately.
  • Familiarity with various office automation tools and software to support office functions and document creation.
  • Strong typing skills are essential for this role.
  • Effective communication skills, both verbal and written, are necessary for successful interaction within the office.
