Position Summary

The Call Center Representative serves as the primary point of contact for patients, embodying the values of respect and empathy. This role is crucial in ensuring that patients feel welcomed and supported during their interactions with our organization. As the initial voice of the Los Angeles Center for Ear Nose Throat and Allergy, your demeanor and approach can significantly influence the patient experience.

Key Responsibilities

  • Greet and assist patients and visitors, whether in person or via phone, addressing inquiries or directing them as necessary.
  • Confirm insurance and eligibility details, ensuring all required documentation is completed accurately.
  • Gather and verify patient information when scheduling appointments to ensure smooth operations.
  • Enhance patient satisfaction and optimize the use of physician time by notifying relevant staff upon patient arrival.
  • Prepare necessary lab requisition forms as directed by medical professionals.
  • Document outcomes of reminder calls for scheduled procedures and appointments in the designated system.
  • Maintain appointment schedules by monitoring service delivery and promptly informing management of any delays.
  • Provide comfort to patients by addressing their concerns and maintaining a welcoming reception area.
  • Ensure that treatment information is readily available by organizing and retrieving patient records efficiently.
  • Update and maintain patient accounts with accurate personal and financial details.
  • Assist patients in distress by responding appropriately to emergencies.
  • Safeguard patient confidentiality by adhering to privacy regulations regarding personal and financial information.
  • Follow established policies and procedures to maintain operational integrity and report any necessary changes.
  • Contribute to team success by achieving related objectives as required.
  • Help develop new patient welcome materials.
  • Exhibit exceptional customer service skills, demonstrating care and quality in every interaction.
  • Demonstrate proficiency in operating switchboards and adhere to site-specific procedures.
  • Manage all aspects of telephone communications, including appointment scheduling and obtaining necessary authorizations.
  • Direct calls to appropriate departments and ensure accurate message-taking.
  • Handle emergency calls in accordance with established protocols.
  • Keep the Call Center Manager informed of any outstanding inquiries or information needed.
  • Maintain an accurate directory of provider contact information.
  • Communicate daily schedules effectively to relevant parties.
  • Stay informed about departmental duties to facilitate efficient call processing.
  • Act as a translator for patients when necessary, as requested by medical staff.
  • Assist with data entry into the electronic medical records system.
  • Request patient records as needed for healthcare providers.
  • Notify physicians when consults are required.
  • Report urgent equipment repair needs to management.
  • Utilize and protect patient health information in compliance with HIPAA guidelines.
  • Adhere to safety protocols consistently.
  • Exercise discretion regarding internal clinical policies when communicating with patients.
  • Perform additional duties as assigned.

Qualifications

  • High School Diploma or GED is required.
  • 1-2 years of experience in operating PBX/switchboard systems.
  • A minimum of 1 year of experience in a front desk or patient-facing role within a medical environment.
  • Experience in an Ear Nose Throat & Allergy specialty clinic is preferred.
  • Bilingual proficiency in English and Spanish is mandatory.
  • General understanding of HIPAA regulations and CPT coding.
  • Willingness to travel between various clinics as needed.
  • Strong communication skills with patients, healthcare providers, and staff.
  • Excellent organizational, interpersonal, and decision-making abilities.
  • Capability to work independently with a high level of accuracy.

Physical Requirements

  • Ability to sit for extended periods.
  • Frequent use of hands and fingers for repetitive tasks.
  • Occasional lifting, pushing, or pulling of up to 20 lbs.
