Overview:

The Patient Service Representative is responsible for a variety of essential tasks that include, but are not limited to, welcoming patients, managing phone communications, scheduling appointments, handling outpatient registrations, processing payments, managing hospital charges, coordinating insurance referrals, performing transcription duties, organizing files, preparing charts, and executing any special tasks as designated by the Office/Clinic Manager.


Key Responsibilities:
  • Execute clerical tasks in designated areas as instructed by the Office Manager.
  • Receive and manage phone and written communications in a courteous and timely manner, directing them appropriately.
  • Welcome and register outpatients in a friendly and efficient manner.
  • Document patient arrival times and prepare charts for nursing staff, including informing patients of expected wait times.
  • Schedule patient appointments using Meditech/CWS, including managing cancellations and rescheduling.
  • Coordinate referral appointments per provider in a timely manner, ensuring all aspects such as insurance referrals and patient notifications are handled.
  • Maintain accurate and efficient filing of forms, order requests, and patient records.
  • Prepare waivers and ensure accuracy for all types of insurance based on procedures.
  • Photocopy materials as needed, ensuring accurate date input.
  • Demonstrate knowledge of Meditech/EAR/CWS systems as required by the role and seek clarification as necessary.
  • Participate in and stay informed about CIR and registry initiatives within the office/clinic.
  • Interact with patients and their families in a professional manner, providing explanations and reassurance as needed.

Education:
Required:
High School Diploma or General Educational Development (GED)

Working Conditions:
Ability to drive to perform job responsibilities.
Ability to lift, move, and load items weighing less than 20 pounds.
Prolonged periods of sitting are required.
