Position Overview: Under minimal supervision, incumbents engage in a range of intricate clerical responsibilities. They are typically designated to service areas where they act as the primary clerical support; those assigned to instructional area offices serve as the main clerical support in the absence of the administrative assistant.
Key Responsibilities:
- Answer telephone calls, relay messages, and prepare meeting spaces.
- Communicate effectively with students, faculty, staff, and the public to disseminate or clarify information.
- Assist with student enrollment during peak periods.
- Review files, records, and other documents to respond to inquiries from students, faculty, staff, and the general public regarding services, policies, and procedures, and refer to other campus programs or departments as necessary.
- Compile, assemble, copy, sort, and file documents and records of office activities and transactions pertinent to the department.
- Compute, record, update, and proofread data, schedules, and other information, and assist in the preparation of reports.
- Process and post outgoing mail and distribute incoming mail, packages, and other materials, while tracking postage meter usage.
- Arrange for servicing and maintenance of office equipment.
- Manage inventory and order office supplies.
- Draft letters, purchase orders, reports, and other correspondence, and input purchase requisition information.
- Assist in the recruitment, training, and oversight of temporary staff.
- Maintain campus information and District forms.
- Perform related duties as assigned.
Additional Duties:
- Complete requisitions, obtain bids and quotes for contracts and maintenance agreements, and follow up with vendors on invoices or purchase orders.
- Develop work schedules and coordinate appointments.
- Attend staff meetings and workshops as required.
- Assist students and staff with issues, testing requirements, services, and/or records.
- Mediate complaints/concerns and refer such matters to the appropriate personnel if necessary.
Experience Requirements: Two years of clerical experience.
Education Requirements: One year of college-level business, office technology, or related coursework at an accredited institution may substitute for one year of the required experience.
