Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant-Legal and Compliance to provide administrative and clerical support to our Legal and Compliance department. The successful candidate will be responsible for maintaining the Bryan Legal team's matter management database, exporting data for Secretary of State filings, and supporting scheduling for the Risk Management department.

Key Responsibilities
  1. Commit to the mission, vision, and values of Bryan Health and consistently demonstrate our core values.
  2. Input and maintain the Bryan Legal team's matter management database.
  3. Export data for Secretary of State filings.
  4. Support scheduling for the Risk Management department.
  5. Assist with coordination of Bryan compliance team investigations.
  6. Assist with Bryan legal and compliance team educational events.
  7. Assist with special events as requested.
  8. Track and collect data from various internal sources and prepare reports.
  9. Maintain work calendars; schedule external and internal department meetings and interviews.
  10. Plan and arrange travel for scheduled conferences.
  11. Record and/or transcribe minutes of meetings.
  12. Provide phone coverage for the department(s); screen phone calls and relay messages in a timely fashion, and respond to callers as appropriate.
  13. Type memorandums, correspondence, department emails, policies and procedures, forms, and other monthly and quarterly reports.
  14. Sort and route incoming department mail; deliver out-going department mail.
  15. Maintain departmental files including employee files; track required licensure, testing or related documentation.
  16. Coordinate the distribution and processing of employee evaluations.
  17. Inventories, orders and coordinates office supply purchases and deliveries with appropriate departmental and supply personnel.
  18. Communicate and cooperate with all levels of personnel.
Requirements

We are looking for a highly motivated and detail-oriented individual with a high school diploma or equivalency and a minimum of two years of experience in an administrative support role. Prior experience in a comparable position in a hospital setting is preferred.

Physical Requirements

This role is characterized as light work requiring exertion up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
