Position Overview:
The Procurement Coordinator plays a vital role in providing administrative support to Supply Management and various departments as needed, while also engaging in limited purchasing activities under general supervision.

Key Responsibilities:
As an administrative support professional, the individual will undertake general clerical tasks and project-based assignments. The Procurement Coordinator will be responsible for sourcing standardized materials, equipment, and services within the power sector.

This position entails:

  • Issuing Requests for Quotation
  • Assessing Supplier proposals
  • Negotiating final pricing and Terms & Conditions
  • Issuing Purchase Orders to Suppliers

Administrative Duties:
Team support responsibilities include:

  • Preparing routine correspondence, emails, letters, memoranda, forms, reports, and other documents
  • Creating business correspondence, spreadsheets, and PowerPoint presentations while organizing and maintaining relevant databases
  • Maintaining records, logs, and filing systems related to assigned responsibilities
  • Performing general clerical tasks such as printing, mailing, and filing
  • Attending departmental meetings and documenting meeting notes
  • Distributing meeting minutes and action item lists for follow-up
  • Updating and sending weekly reports
  • Completing monthly KPI reporting
  • Managing documents such as insurance certificates and confidentiality agreements
  • Assisting with supplier qualification processes
  • Supporting new employee orientation and onboarding

Collaboration and Support:
The Procurement Coordinator will interface with the Project Buyer, Engineering, and the Project Team to:

  • Develop and issue Requests for Quotation
  • Review and evaluate Supplier bids
  • Negotiate pricing and Terms & Conditions
  • Select Suppliers and issue Purchase Orders in accordance with departmental procedures

Supplier Management:
This role involves:

  • Evaluating and managing Supplier performance
  • Identifying new, qualified, and competitive suppliers
  • Processing Supplier non-conformances and resolving related issues

Qualifications:
Preferred qualifications include:

  • Associate Degree or equivalent experience
  • 2+ years of relevant work experience
  • Experience in the construction industry is preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with Cost Point is a plus
  • Strong verbal and written communication skills
  • Ability to effectively operate various software programs
