Job Overview

The Front Office Coordinator plays a vital role in supporting the Administrative Team under the direct guidance of the Director of Business Operations, ensuring a friendly and inviting atmosphere for students, staff, visitors, and guests.

Key Responsibilities

  • Serve as the welcoming face of the organization, creating a friendly environment for all visitors and guests.
  • Warmly greet guests and visitors, embodying the organization's values and philosophy.
  • Professionally manage incoming calls and take messages as needed.
  • Uphold confidentiality for staff and students by limiting discussions in the lobby to casual exchanges.
  • Coordinate appointments for administrative team members and oversee the master calendar. Ensure that parent and district communications are directed to the appropriate personnel or to the School Administrator and Executive Administrative Assistant.
  • Prepare and distribute the daily memo following the directives of the Administrative Team.
  • Handle professional correspondence with a high level of confidentiality, whether by mail, submission, or digital means.
  • Provide assistance to members of the Administrative Team as required.
  • Maintain professional boundaries with all employees and external personnel, ensuring effective communication at all times.

Qualifications and Skills

  • High School Diploma or equivalent is required.
  • Proficiency in spoken Spanish is essential.
  • Familiarity with Microsoft Office applications.
  • Strong organizational and time management skills.
  • Excellent verbal communication abilities.
  • Demonstrated professionalism and reliability.
  • Ability to work collaboratively within a team.

This position is full-time, operating Monday through Friday, from 8 AM to 4 PM.
