Position Overview:

This role is essential in delivering administrative assistance to the leadership team overseeing Exceptional Student Services.

Key Responsibilities:

  • Handle incoming communications and direct them to relevant departments.
  • Coordinate scheduling of meetings and manage travel logistics.
  • Support divisional personnel with various projects and initiatives.
  • Assist in the preparation of program-specific reports and correspondence.
  • Contribute to policy development and participate in program evaluations.
  • Gather and organize qualitative data, aiding in database management and website content updates.
  • Research and draft policies and procedures related to legislative requirements and program regulations.
  • Ensure compliance with data collection timelines and communication for Exceptional Student Services.
  • Assist with travel arrangements for leadership and staff.
  • Prepare necessary documentation and coordinate participant registration for events.

Knowledge, Skills & Abilities:

Knowledge:

  • Familiarity with computer systems and telecommunications software.
  • Experience with Content Management Systems.
  • Prior experience in administrative support roles is required.

Skills:

  • Strong interpersonal skills for effective public and customer relations.
  • Proficient time management techniques.
  • Excellent verbal and written communication abilities.
  • Ability to organize, schedule, and coordinate tasks efficiently.
  • Competence in database management and problem-solving.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).

Abilities:

  • Quickly assess situations and respond appropriately.
  • Build trust and confidence with stakeholders.
  • Establish and maintain professional relationships.
