Position Overview

The Human Resources and Office Coordinator plays a crucial role in the daily operations of the office, providing essential support in HR functions, safety protocols, and project billing processes. This position encompasses responsibilities across various areas including HR/payroll, compliance, safety management, and maintaining employee records.


Key Responsibilities:


HR/PAYROLL FUNCTIONS
· Facilitate the onboarding process for new employees, ensuring all necessary documentation is prepared and processed;
· Oversee pre-employment assessments, including background checks and drug screenings, while monitoring outcomes;
· Organize and maintain both physical and digital employee files;
· Ensure proper handling of I-9 documentation, focusing on accuracy and compliance;
· Process payroll on a weekly basis;
· Assist HR and payroll departments with various projects as required.


SAFETY MANAGEMENT
· Administer safety documentation for incoming staff;
· Update the authorized drivers list as needed;
· Monitor DMV notifications through the driver oversight system;
· Address inquiries related to driving performance;
· Ensure compliance with Department of Transportation (DOT) regulations, including tracking annual physical examinations.


GENERAL ADMINISTRATIVE SUPPORT
· Manage project billing tasks;
· Utilize third-party prequalification management software effectively;
· Update insurance documentation to meet annual compliance standards;
· Assist in the completion of project prequalification forms;
· Provide support with various administrative tasks as necessary.


Qualifications:
· A minimum of one to two years of experience in HR functions;
· Exceptional organizational skills with a keen attention to detail;
· Ability to meet deadlines consistently;
· Commitment to maintaining confidentiality;
· Strong verbal and written communication abilities;
· Excellent interpersonal skills;
· Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
