Position Overview
The Benefits Administrator is responsible for managing various benefits administration tasks through the utilization of benefits systems, payroll systems, and carrier systems.
Key Responsibilities
- Facilitate courteous and efficient handling of customer service inquiries from both internal and external clients regarding benefits and related issues.
- Act as the primary contact for the benefits enrollment system during the annual Open Enrollment period, as well as for new hires, updates for existing employees, qualified life events, and special enrollments.
- Support special projects and transition efforts by performing similar duties during transfers to ensure seamless benefits transitions between positions and entities.
- Identify and troubleshoot issues within the benefits systems, offering suggestions and implementing corrections as necessary.
- Respond promptly to communications such as emails, faxes, and notices concerning employees' benefits and National Medical Support Notice orders.
- Monitor rehires to ensure accurate benefits coverage start dates and reinstatements, if applicable.
- Maintain updated employee information across all systems, including address changes and demographic data, to ensure accurate EDI transfers to benefits carriers.
- Review carrier and file feed error reports, resolving issues in a timely manner.
- Assist employees and their dependents in understanding the benefits offerings provided by Bernhard.
- Support employees with benefits enrollments and access issues in the BEKI / Benefits Prime system.
- Conduct benefits enrollment meetings, providing guidance on eligibility, costs, and coverage options.
- Disseminate benefit communications to eligible participants.
- Manage the benefits email inbox, responding promptly to inquiries and requests.
- Engage benefits brokers to assist participants with claims and inquiries, ensuring compliance with HIPAA policies.
- Reconcile all benefit carrier invoices, allocate costs for accounting purposes, and process monthly benefits carrier invoices in a timely manner.
- Perform monthly audits of benefits carrier invoices against UKG Benefits Prime.
- Audit payroll deductions in legacy payroll systems against UKG Benefits Prime.
- Upload eligibility and demographic data updates into Fidelity for 401K plan administration.
- Communicate directly with benefits carriers regarding employee eligibility and monitor benefits EDI file feeds for accuracy.
This is a Full-Time, Non-Exempt position reporting to the Director of Compensation & Benefits.
Qualifications
Required Education, Experience, and Skills
- A minimum of 2 to 5 years of experience in Human Resources functions, with a focus on benefits administration.
- Experience with HRIS benefits administration and insurance carrier systems.
- Proficient in MS Office Suite, with advanced skills in Outlook, Word, and Excel.
- Strong attention to detail and a commitment to following company procedures.
- Excellent oral and written communication skills.
- Strong interpersonal abilities.
- Effective verbal and written communication skills.
- Detail-oriented with the capacity to manage multiple ongoing projects in a fast-paced environment.
- Well-informed about industry standards and competitors.
- Exceptional multitasking skills, with the ability to perform duties beyond the primary scope of work when necessary.
Travel Requirements
- Travel may be required up to 5% of the time to job sites or office locations.
Physical/Work Environment Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to climb stairs.
- Ability to remain in a stationary position, often kneeling, standing, or sitting for extended periods.
- Repetitive motions that may include the wrists, hands, and/or fingers.
- Work in a quiet environment.
- Light work that may involve adjusting and/or moving objects weighing up to 20 pounds.
