Job Overview

HammerHead Recruitment is seeking an experienced Architectural Construction Administrator to join a prestigious architectural firm in South Florida. As a key member of the project team, you will be responsible for overseeing the successful execution of architectural projects throughout the construction phase.

Key Responsibilities
  1. Coordinate architectural and sub-consultant activities related to construction contract administration, including process sketches and permit revisions, field observations, reports, change orders, revision management, and payment applications.

  2. Implement effective revision management processes to track and document changes to design drawings and specifications. Collaborate with the design team, consultants, and contractors to ensure that revised drawings are properly incorporated into project documentation.

  3. Review and evaluate change order requests submitted by contractors. Assess the impact of proposed changes on the project's scope, schedule, and budget. Collaborate with project managers, design professionals, and contractors to negotiate and resolve change order issues.

  4. Review and evaluate payment applications submitted by contractors. Verify the accuracy and completeness of the applications by comparing them to the project's progress, approved change orders, and contractual agreements.

  5. Oversee and coordinate the RFI process, ensuring that RFIs are managed effectively and responses are provided in a timely manner. Work closely with project stakeholders to address design or construction-related queries and facilitate effective communication between the design team, contractors, and consultants.

  6. Oversee and track submittals, ensuring proper documentation and verifying compliance with project specifications and architectural standards. Collaborate with design professionals, consultants, and contractors to ensure timely approval of submittals and adherence to project requirements.

  7. Identify and resolve field problems by collaborating closely with project managers, design professionals, and contractors. Offer practical solutions to maintain project timelines and budgets while ensuring the quality and integrity of the project.

  8. Provide guidance and mentorship to junior team members, effectively delegating tasks, and fostering a positive work environment that encourages teamwork and collaboration.

  9. Utilize architectural software such as AutoCAD and Revit to manage and review design drawings and documentation. Leverage technology to streamline processes and enhance collaboration between design and construction teams.

  10. Contribute to the substantial and final completion process by assisting in the coordination of final inspections, punch list items, and closeout documentation.

  11. Help maintain accurate and up-to-date records of changes made to the contract documents, including revisions, ASIs, change orders, and other related documentation.

  12. Assist in reviewing material test reports to ensure that materials used on the project meet the required standards and specifications.

  13. Support the process of issuing ASIs, including documenting design changes, clarifications, and modifications to the contract documents. Collaborate with the design team and contractors to ensure proper implementation.

  14. Oversee the project closeout process, ensuring that all necessary tasks and documentation are completed in accordance with project requirements and contractual obligations.

  15. Manage the architect punch list, which outlines the remaining items that need to be addressed before the project can achieve final completion. Collaborate with the design team, contractors, and subcontractors to identify and resolve deficiencies, ensuring that all architectural elements meet the required standards and specifications.

  16. Prepare and issue the substantial completion certification, documenting the project's substantial completion date and confirming that all major elements of the construction are finished in accordance with the contract documents.

  17. Facilitate a lessons learned session with the project team, reflecting on the successes and challenges encountered during the project. Identify opportunities for improvement in future projects and document key insights and recommendations.

  18. Oversee the proper archiving of project files and documentation for future reference and retrieval. Ensure that the project's digital and physical records are organized and stored in accordance with company standards and best practices.

  19. Continuously seek opportunities to improve the project closeout process by implementing lessons learned, streamlining workflows, and adopting industry best practices. Stay updated on industry trends and regulations related to project closeout and incorporate them into the organization's processes and procedures.

Requirements
  • Architectural License and Degree: Hold a valid architectural license and possess a degree in architecture or a related field.

  • Construction Administration Experience: Minimum of 5 years of experience as a Construction Administrator, specifically in the multifamily market in South Florida.

  • RFI and Submittal Management: Proven proficiency in managing RFIs and submittals, including their timely resolution and documentation.

  • Leadership Skills: Strong leadership skills with the ability to delegate tasks, guide team members, and maintain a positive work environment.

  • Software Proficiency: Comprehensive knowledge of Procore software for efficient project management, as well as proficiency in architectural design software such as AutoCAD and Revit.

  • Excellent Communication: Excellent written and verbal communication skills to maintain strong relationships with clients, contractors, and colleagues.

  • Detail-Oriented and Proactive: A proactive, detail-oriented mindset with the ability to manage multiple tasks and deadlines simultaneously.
