Position Summary
The clinics we partner with vary significantly in size, from solo practitioners to larger teams with over 100 staff members. Our billing department plays a crucial role in the onboarding process for new clients, which includes managing deposits, monitoring our waitlist, and establishing client billing subscriptions.
In addition to setting up monthly billing subscriptions, our team is responsible for reviewing changes in clinic staffing and adjusting subscriptions as necessary. This process is currently manual, making it essential for candidates to possess a keen attention to detail when handling data entries.
Our billing department also manages client cancellations, which involves preparing tools for data extraction, providing clients with necessary instructions, and finalizing both their EHR and billing accounts.
Key Responsibilities
- Track modifications to user accounts and update billing subscriptions accordingly.
- Assist clients via email or phone with inquiries regarding invoices, information updates, and staffing changes.
- Maintain records in our internal client management system and oversee new client onboarding paperwork.
- Support the processing of client cancellation requests.
Qualifications
- Strong attention to detail and accuracy.
- Ability to seek clarification when necessary.
- Experience in customer service is advantageous.
- Comfortable navigating ambiguity; experience in a startup or growth environment is preferred.
- Project management capabilities.

Preferred Skills
- Familiarity with ActiveCampaign, Adobe Sign, Chargeover, Data Entry, Excel, FreshDesk, HTML/CSS, Quickbooks, and Hubspot is a plus.
