Job Responsibilities:

  • Administrative Support: Provide high-level administrative support to senior-level managers, including managing calendars, making travel arrangements, and preparing expense reports.
  • Calendar Management: Create and maintain detailed schedules of events, appointments, and tasks, ensuring optimal time management and prioritization.
  • Research and Analysis: Conduct thorough online research to support various projects and decision-making processes, providing accurate and relevant information.
  • Writing and Documentation: Write and maintain accurate records, compile and distribute comprehensive reports, and handle other documentation tasks as needed.
  • Event Planning and Travel Arrangements: Plan and coordinate events, as well as manage travel logistics, including booking flights, accommodations, and transportation.

Requirements:

  • Education: Diploma in Office Administration or a Secretarial Diploma
  • Experience: Proven experience as an Executive Assistant, Virtual Assistant, or in a similar role.
  • Industry Knowledge: Experience in the telecommunications industry, including understanding FCC regulations, data privacy laws, and cybersecurity issues.
  • Technical Skills: Proficiency in legal research databases, document management systems, and possibly experience with telecommunications-specific software or compliance tools.
  • Soft Skills: Strong analytical skills, attention to detail, effective communication abilities, and the capacity to work under tight deadlines.
  • Travel Experience: Must have experience in booking travel and making travel arrangements internationally.
  • Organizational Skills: Strong organizational and time management abilities.
  • Software Proficiency: Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software.
  • Confidentiality: Ability to work independently and handle confidential information with discretion.
  • Research Skills: Strong research skills and attention to detail.
  • Adaptability: Flexibility to adapt to changing priorities and schedules.
  • Internet Connection: Have a wired, high-speed internet connection (Download speed of 20 Mbps+)

Conditions of Employment:

  • Work Authorization: Must be authorized to work in the country where the job is based.
  • Background Check: Must be willing to submit up to a LEVEL II background and/or security investigation with a fingerprint. Job offers are contingent on background/security investigation results.
  • Drug Screening: Must be willing to submit to drug screening. Job offers are contingent on drug screening results.

Compensation Details:

Salary: Standard starting compensation is commensurate with experience. Yearly reviews are conducted based on tenure and performance.

Physical Requirements:

This job operates in a professional office environment. While performing the duties of this job, the employee will be largely sedentary and will be required to sit/stand for long periods while using a computer and telephone headset. The employee will be regularly required to operate a computer and other office equipment, including a phone, copier, and printer. The employee may occasionally be required to move about the office to accomplish tasks; reach in any direction; raise or lower objects, move objects from place to place, hold onto objects, and move or exert force up to forty (40) pounds.
