ROLE DESCRIPTION:

The Talent Assistant position will provide critical support to the agency's CO-CEO/CMO, focusing on talent management and client relations. This role is ideal for a detail-oriented and organized individual with excellent communication and writing skills, as well as a passion for social media content creation and influencer marketing.

Key responsibilities include:

  • Supporting the CO-CEO/CMO's day-to-day initiatives and projects, with a focus on digital talent management and client relations.
  • Overseeing day-to-day administrative tasks, from business operations to general support.
  • Thriving in a fast-paced environment and juggling multiple assignments and changing priorities.
  • Working independently, meeting goals and deadlines with moderate supervision.

Talent Coordination Support:

  • Supporting the CO-CEO/CMO with key agency clientele, including TikTokers, YouTubers, and Instagram creators.
  • Assisting with client communications via text, Slack, or email.
  • Calendar management for clients.
  • Attending client events and projects in-person, as needed.
  • Attending internal talent management meetings.
  • Working directly with the CO-CEO/CMO to support day-to-day activities, project execution, and client strategy.
  • Working directly with clients to support day-to-day needs, including collecting assets and ensuring internal project calendars and trackers are up to date.
  • Managing booked campaigns from start to finish, including sending briefs, attending briefing meetings, and ensuring clients understand scope of work and timelines.
  • Managing post-campaign duties, such as Quickbase entries and analytic reporting.
  • Overseeing all administrative tasks related to talent client projects, including software inputs in Quickbase, AirTable, Streak, and Dropbox folders.
  • Monitoring trends in social media tools, applications, channels, design, and strategy.
  • Assisting in proactively pitching and negotiating for clients on their behalf for upcoming opportunities.
  • Assisting in building pitch lists for potential collaborations.
  • Assisting in monitoring client inboxes.
  • Handling all gifting and event invitations for clients.
  • Participating in meetings and conference calls.
  • Meeting/call coordination.
  • Drafting and distributing agendas and recaps.
  • Supporting editing social media content and posting on behalf of clients, as needed.
  • Assisting in monitoring the CEO's inbox and general needs related to campaigns and internal communications.
  • Ongoing building of prospective brand lists for outreach for talent and agency-wide in Apollo and/or Google Sheets.
  • Supporting the agency's non-profit partner through influencer relations and strategy.
  • General content marketing needs related to marketing agency services.
  • Varying admin and support through agency portfolio as related to the CEO's responsibilities.

SKILLS & EXPERIENCE:

  • 2+ years of direct experience in social media, executive assistant, entertainment, influencer marketing, etc. in a client-facing role.
  • Interest and passion for the digital social media world, specifically related to influencer marketing and social media content creation.
  • Extremely well-organized, methodical, and efficient, detail-oriented.
  • Ability to handle multiple priorities and projects at the same time, good dose of common sense.
  • Must take initiative.
  • Proactive worker that requires little guidance and hand-holding.
  • Creative and strategic problem-solver; resourceful and persistent.
  • Proficiency in Google Business Suite (Gmail, Google Calendar, Drive).
  • Proficiency in social media platforms.
  • Collaborative, hardworking, positive, and enthusiastic attitude.

WORKING ENVIRONMENT/PHYSICAL DEMANDS:

Must have the ability to sit and stand for extended periods of time; exhibit manual dexterity to use a telephone, to enter data using a computer keyboard, and to perform; see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal classroom levels and on the telephone; speak in audible tones so that others may understand clearly in normal classrooms and on the telephone; physical ability to lift up to 25 pounds.
