The Director of Fitness (DOF) serves as the primary advocate for Personal Training initiatives. This role is distinct from merely instructing trainers on exercise techniques.

The DOF acts as a New Member Onboarding Specialist, collaborating closely with the General Manager to refine tour practices and conduct initial consultations. Engaging with each new member, you will promote personal training services through our tailored software solutions.

Key Duties

  • Daily management of scheduling for training sessions
  • Align trainer availability with client bookings
  • Ensure completion of daily training sessions
  • Process weekly payroll for trainers
  • Monitor and manage outstanding debts and payment cancellations

Focus on essential operational functions that foster a robust and sustainable Personal Training presence within the club, including:

Recruiting talent by contacting personal trainer candidates for preliminary interviews
• Showcasing personal trainer profiles for the company website.
• Encouraging staff involvement in Personal Training
• Managing uniform orders and payment collections for trainers.

Conduct monthly evaluations of trainer performance and maintain records of any disciplinary actions
• Collect monthly performance reviews for employees
• Daily outreach to new members via calls and emails using the club's designated communication channels.
• Contact members who have not scheduled appointments.

Daily Tasks: - Engage with new members through calls, texts, and emails.
• Follow up with members who have not booked consultations.
• Confirm all client training appointments with trainers weekly.
• Allocate time each week for interviewing potential new trainers alongside the General Manager.

The Director of Fitness must possess strong communication skills, interpersonal abilities, and confidence, with a willingness to actively pursue sales opportunities.

Summary of Primary Responsibilities

The general scope of your responsibilities includes, but is not limited to, the following, and may be adjusted to enhance departmental and club success.

Sales:

The Director of Fitness collaborates with the General Manager to train front desk staff, aiming for a 70% appointment setting rate each month for qualified personal training prospects. It is crucial to ensure club managers are effectively driving member engagement through personal training sales, targeting a 2% increase each month alongside promotional activities and in-club events.

Human Resources:

Responsible for interviewing, hiring, training, and managing the termination process for Personal Trainers. While some tasks may be coordinated with the club GM, direct oversight of the trainers falls under the DOF's purview.

Team Performance:

The DOF ensures that all Personal Training Department members adhere to established protocols, providing corrective coaching as necessary. Additionally, the DOF will monitor sales performance and closing rates to guarantee the department meets or exceeds its targets, substituting trainers as required.

Scheduling:

The Director of Fitness is accountable for maintaining adequate scheduling within the Personal Training Department to meet client demand. The DOF may need to adjust their schedule to address unforeseen circumstances. Typically, successful Personal Training programs expand their team as demand grows, leading to a dynamic scheduling environment.

Administrative Duties:

The Personal Training Program is complex and requires ongoing oversight. The DOF will be responsible for mastering all reporting aspects related to Personal Trainers. Effective communication with the General Manager is essential for the program's success, and the DOF will receive comprehensive support in all operational areas. The DOF will also manage all functions related to the Personal Training Program software and provide necessary data for club reports.

Payroll Management:

The Director of Fitness is tasked with ensuring that trainer payroll is submitted to the General Manager every Monday for processing. Prior to submission, the DOF will verify the accuracy of all session counts related to Personal Trainers. This process is straightforward and should be conducted regularly to maintain accuracy.

Member Engagement:

As the fitness industry is service-oriented, the relationship between members and staff is paramount. The DOF is expected to engage with members to ensure their satisfaction with the team and programs, utilizing both informal interactions and structured feedback mechanisms.

Additional Responsibilities:

The DOF is expected to assist with various tasks within the Personal Training Program, including marketing initiatives, creating trainer biographies, and supporting the General Manager and other staff as needed. As part of the management team, the DOF should lead by example and be willing to help wherever necessary.

Secondary Responsibilities:

Act in the best interest of overall club operations and assist in maintaining a satisfied client base. Duties may include conducting facility walk-throughs to assess equipment and conditions, touring potential members, and assisting at the front desk during downtime.

Work Schedule:

Director of Fitness (DOF) Role Hours - Split Shifts (Monday to Thursday: 9am -12:30pm then 3pm to 7pm), Friday 9am to 1:30pm

PT Hours: Schedule up to 20 half-hour sessions with clients outside of DOF hours and responsibilities.

Compensation Structure

Salary: The hours dedicated solely to the Director of Fitness role may vary based on program needs. Generally, a commitment of around 35 hours per week is anticipated.

Incentives: Achieving sales targets is crucial for the success of the Personal Training Program. The DOF position is performance-driven; higher sales result in greater earnings.

Employment Conditions:

To qualify as full-time, an individual must establish a consistent schedule of 35 hours per week, which may include a combination of Director of Fitness responsibilities, General Club duties, Personal Training sessions, and demonstrations.
