Job Description:

We are seeking an experienced Production Coordinator to join our team at Clarity Recruiting.

Key Responsibilities:
  • Maintain and update production staffing records in resource management software, ensuring accurate and timely information.
  • Assist in forecasting team utilization and advise on full-time and freelance staffing needs, providing strategic recommendations for optimal project outcomes.
  • Coordinate freelance onboarding processes in partnership with HR, streamlining the process and enhancing overall efficiency.
  • Conduct rate negotiations based on client rate cards, leveraging negotiation skills to secure favorable terms.
  • Collaborate with regional teams to fulfill inter-regional project staffing requirements, fostering a culture of collaboration and teamwork.
  • Act as a point person and guide to freelancers navigating agency processes, providing exceptional support and guidance.
Recruitment Efforts:
  • Drive recruitment efforts for production roles, including developing and executing recruitment strategies to attract top talent.
  • Maintain an up-to-date database of production staffing resources, ensuring easy access to valuable information.
Proposal Coordination:
  • Lead proposal evaluation alongside leadership to determine viable project opportunities, utilizing expertise to identify potential successes.
  • Oversee proposal staffing and kickoffs, ensuring seamless execution and timely delivery.
  • Prepare and distribute weekly proposal tracking reports to senior management, providing critical insights and updates.
  • Act as RFI coordinator, working with Business Development and Account Services to answer RFIs, and maintain our RFI boilerplate document, promoting consistency and efficiency.
  • Review and proof proposals for accuracy and alignment with standards, guaranteeing high-quality deliverables.
Administrative & General Support:
  • Provide administrative assistance to the Chief Implementation Officer, supporting key stakeholders and driving business results.
  • Arrange capabilities presentations with vendors, facilitating partnerships and collaborations.
  • Organize and schedule internal workshops, fostering knowledge sharing and professional growth.
  • Coordinate meetings, interviews, and presentations related to production staffing needs, ensuring smooth execution and effective communication.
  • Manage and maintain the executive production schedule in Outlook, optimizing time management and productivity.
Qualifications:
  • In-depth understanding of production roles and responsibilities in corporate event production, possessing a deep knowledge of industry best practices.
  • Proficient in Excel, Word, PowerPoint, and Keynote, leveraging technical skills to drive results.
  • Familiar with software-based production management tools, staying up-to-date with industry developments and innovations.
  • Exceptional email communication skills, crafting compelling and effective messages that engage stakeholders.
  • Capable of handling a wide variety of projects and personalities, demonstrating adaptability and flexibility.
  • Strong multi-tasking skills with an ability to prioritize effectively, managing multiple tasks and deadlines with ease.
  • Passionate about creating and refining efficient processes, driving continuous improvement and excellence.
Salary Estimate:

$65,000 - $85,000 per year, depending on location and experience.
