Key Responsibilities
  • Coordinate sales processes and manage customer relations for the Director of Sales and Marketing (DOSM) and other management personnel as needed.
  • Answer incoming calls in accordance with Loews Star Service guidelines, ensuring a pleasant and professional interaction.
  • Maintain an organized system for message delivery to office staff and prioritize daily tasks effectively.
  • Provide assistance to both internal and external clients with a friendly demeanor.
  • Accurately draft correspondence, including memos, forms, contracts, and letters as required.
  • Input account, booking, and profile information into the DMPE system promptly, adhering to established guidelines.
  • Generate daily future availability reports and distribute them to the sales team.
  • Arrange travel logistics for management, including flights, accommodations, car rentals, and registration for conventions.
  • Gather all relevant information when receiving leads, ensuring a comprehensive understanding of client needs.
  • Organize and maintain files systematically, following the prescribed format for documentation.
  • Assist with follow-up calls to clients regarding upcoming groups, striving to resolve inquiries on the first contact.
  • Manage reservations and amenities for management, ensuring all VIP arrangements are confirmed and communicated.
  • Prepare contracts for Sales Managers, making necessary adjustments and distributing for tentative bookings.
  • Create reader files for Sales Managers, preparing them for monthly reviews with the Director of Sales.
  • Produce V.I.P. reservations for the Reservations Department and follow up to ensure guest accommodations are secured.
  • Support the training of new Sales Assistants on departmental operations and responsibilities.
  • Compile Post Convention Reports and corresponding thank-you letters.
  • Collaborate with other Sales Managers on contracts, proposals, and correspondence as needed.

Qualifications

Proficiency in Microsoft Word, Excel, Opera, and Delphi is essential. Candidates should possess excellent communication, organizational, and guest relations skills. Flexibility in scheduling, including availability on weekends and holidays, is required. A minimum of two years of office experience, preferably in a sales environment, is necessary.
