Job Summary

We are seeking a highly skilled and experienced Space and Facilities Manager to join our team at Yale University. This is a full-time position that will report to the Senior Associate Dean, FAS and work closely with the FAS Dean of Science.

Key Responsibilities
  • Manage day-to-day activities involving departmental facilities, including facilities issues, research facilities, and equipment.
  • Serve as a resource to leadership and managers regarding operational, technology, and facilities issues.
  • Manage space and inventory, as well as service and maintenance contracts and issues.
  • Act as a liaison with ITS, Provost's Office, Procurement, Environmental Health and Safety, and other university departments.
  • Monitor all renovation and construction projects within the departments.
  • Coordinate emergency response with facilities.
  • Troubleshoot daily issues with research and core labs regarding equipment maintenance, facility needs, moves, shutdowns, floods, etc.
  • Work with departments to assist their business offices when faculty and staff leave the department or move within the department.
  • Provide quarterly updates for equipment to be decommissioned, replaced, etc.
  • Point of contact for ordering equipment.
  • Work closely with department business office staff to assure appropriate controls and oversight of facilities and equipment service and maintenance contracts.
  • Monitor the adequacy of service delivered by outside providers.
  • Escalate issues or concerns related to administrative and operational services to upper management.
  • Conduct daily walk-throughs and monitor conditions of all buildings and space.
  • Inspect and monitor all mechanical system equipment.
  • Investigate system malfunctions and take action to resolve.
  • Track/reports on facilities-related problems as reported by the departments.
  • Maintain documentation and specifics of ongoing facilities issues.
  • In conjunction with ITS and Environmental Health and Safety, dispose of or coordinate disposal of all excess lab equipment, electronics, chemicals, furnishings, and miscellaneous items.
Requirements
  • Bachelor's Degree.
  • Four years of related demonstrated experience or an equivalent combination of education and demonstrated experience.
  • Excellent verbal and written communication skills.
  • Demonstrated critical and strategic thinking, organizational, and administrative skills.
  • Excellent attention to detail.
  • Proficiency in Outlook and Excel.
  • Proven ability to work in a team and independently to manage multiple priorities.
  • Demonstrated positive attitude and commitment to working as a team.
  • Excellent organizational and interpersonal skills.
  • Ability to work harmoniously with staff, students, faculty, university offices, and external organizations.
  • Ability to exercise good judgment and demonstrated ability to monitor and track numerous facilities and spaces.
  • Proven ability to handle confidential information.
  • Ability to manage projects, set priorities, and advance outcomes.
Preferred Qualifications
  • Ability to travel between departments and buildings.
  • Demonstrated experience working in a higher education setting.
  • Knowledge of science labs, lab equipment, and technology needs within a lab.
