Procurement Administrative Specialist

The Procurement Administrative Specialist plays a crucial role in the Purchasing Department by collaborating with planners and buyers to manage and update Purchase Orders within the Syteline ERP system. This position requires effective communication with suppliers to facilitate Requests for Quotes and ensure accurate Purchase Order placements, as well as to address any discrepancies that may arise.
Key Responsibilities:
- Utilize computer systems for navigation and document management (folders, files, open, close, copy, paste, save, etc.).
- Demonstrate proficiency in basic software applications (Windows, Edge, Chrome, Gmail, Excel, Word, etc.).
- Perform accurate data entry, including typing and numeric 10-key input.
- Sort and distribute incoming mail for the Purchasing Department.
- Create and manage Purchase Order documents in SAP and Infor/Syteline systems.
- Engage with vendors to address inquiries, manage purchases, and track deliveries.
- Update Purchase Orders with revised delivery dates and costs as necessary.
- Match vendor invoices with Packing Slips and Purchase Orders, ensuring accuracy.
- Collaborate with Buyers and vendors to resolve discrepancies and maintain accurate records.
- Process transactions for invoice payments in SAP and Infor/Syteline systems, ensuring timely submission to the Accounting Department.
- Assist Buyers in expediting pending purchases and coordinating with end users.
- Maintain and update logs and computer files on a daily basis.
- Perform additional duties as assigned.
Additional Responsibilities:
- Prepare special reports as required.
- Participate in company-wide physical inventory activities.
- Occasionally run local errands as needed.
Reporting Structure:
- Reports to the Manager of Purchasing/Warehouse.
Qualifications:
- Preferred two years of experience in a Purchasing role.
Skills and Competencies:
- Detail-oriented with a strong emphasis on accuracy.
- Excellent organizational capabilities.
- Proficient in computer applications, including Gmail, Excel, and Word.
- Familiarity with SAP and Infor/Syteline systems is preferred.
Compensation: $22.50 per hour
Work Schedule: Monday to Friday, 8:00 AM to 5:00 PM
Travel Requirements: Minimal to no travel expected.
Other Skills:
- Ability to follow instructions and work collaboratively with others.
Physical Requirements:
Ability to lift an average weight of 15 lbs on a daily basis.
