Job Summary

We are seeking a highly organized and efficient Office Assistant to join our busy Human Resources department at Ad-vance Talent Solutions.

The ideal candidate will be computer savvy, detail-oriented, and possess strong communication skills.

This role is essential in ensuring the smooth operation of our HR office by handling various administrative tasks and providing excellent customer service.

Key Responsibilities:

- Document Management:

Scan and organize various HR documents, ensuring accurate digital filing.

Maintain electronic and paper records, ensuring information is easily accessible.

- Communication:

Answer and direct phone calls, providing information and assistance as needed.

Greet and assist visitors in a friendly and professional manner.

- Administrative Support:

Schedule and coordinate meetings using Outlook, including arranging meeting rooms and preparing necessary materials.

Assist with the onboarding process for new employees, including preparing and distributing welcome materials.

Provide general administrative support to the HR team, including data entry, filing, and record keeping.

- Customer Service:

Respond to inquiries from employees and external parties, providing accurate information and resolving issues promptly.

Maintain a positive and professional demeanor, ensuring a high level of customer satisfaction.

Qualifications:

High school diploma or equivalent; additional qualifications as an Office Assistant or Secretary are a plus.

Proven experience as an office assistant or in another relevant administrative role.

Experience in a Human Resources environment is preferred but not required.

Proficient in Microsoft Outlook and other Microsoft Office applications (Word, Excel, PowerPoint).

Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.

Excellent communication and interpersonal skills.

Ability to work independently and as part of a team.

High level of accuracy and attention to detail.

Customer service-oriented, with a friendly and approachable demeanor.
