Position Overview: The Director of Research Finance & Operations at Beth Israel Deaconess Medical Center is responsible for leading and overseeing the financial management of research grants, ensuring adherence to federal and state regulations.

This role involves maintaining the financial and information systems that support the research initiatives of the Center, while providing comprehensive financial analysis and support for the Research Division.

Key Responsibilities:

  • Analyze, monitor, and evaluate the Center's post-award sponsored research activities, including federal and non-federal projects and contracts.
  • Maintain the financial systems of the Center, including general ledger and fixed assets, to ensure robust accounting support for the Research Division.
  • Create and modify research projects within the financial systems, maintaining detailed logs of updates to sponsored funding and financial deliverables.
  • Provide financial analysis and monthly reporting to the Research Division, presenting findings and recommendations to senior management.
  • Supervise a team of Research Finance Analysts, serving as a resource for other Fiscal Services staff.
  • Review and approve all non-personnel cost transfers, ensuring efficient and compliant administration of grants and contracts.
  • Develop tracking tools for expiring grants and deficit reports to manage financial operations effectively.
  • Conduct monthly meetings with Research Administrators to review the research portfolio, address upcoming deliverables, and resolve any financial discrepancies.
  • Oversee the resolution of grant account discrepancies and the closure of accounts for completed projects.
  • Prepare and reconcile financial draws on the Center's letters of credit through the payment management system.
  • Manage the monthly financial close process for the Center's general ledger, ensuring accuracy and completeness of journal entries.
  • Prepare and certify reports for external entities, including Federal Financial Reports.
  • Ensure compliance with government regulations and grant stipulations, including monitoring sub-recipients of federal awards.
  • Act as the primary contact for auditors during the annual audit, preparing necessary documentation and ensuring compliance with grant and university policies.
  • Develop budget templates and monitor budget preparation for individual Principal Investigators.
  • Ensure that expenditures are allowable and appropriately allocated, providing guidance to the Office of Sponsored Research.
  • Collaborate with the Office of Sponsored Research to establish a compliant and efficient sponsored accounting operation.
  • Participate in special projects as directed by the Controller.
  • Perform other duties as assigned.

Qualifications:

  • BA or BS degree in Accounting, Business, Finance, or a related field; MBA preferred.
  • 5-7 years of experience in a financial office with significant responsibilities.
  • Experience in accounting within a research or academic setting.
  • Familiarity with sponsored programs administration and higher education research administration is highly desirable.
  • Preferred experience in managing personnel.
  • Strong accounting skills and a comprehensive understanding of financial principles and practices.
  • Knowledge of the regulatory environment for sponsored programs and federal funding agency policies.
  • Excellent interpersonal and communication skills, both written and oral.
  • Ability to manage multiple priorities effectively.
  • Advanced proficiency in Excel, Word, and Access; strong computer skills.
  • Meticulous attention to detail.
  • Strong analytical skills and advanced mathematical abilities.
