At BioStem Technologies, we are seeking an experienced Financial Operations Coordinator to join our team. In this role, you will play a crucial part in ensuring the smooth operation of our financial processes.

 

Job Description

 

The Financial Operations Coordinator will be responsible for managing and processing all invoices received for payment, as well as undertaking the payment of all creditors in an accurate, efficient, and timely manner. This role ensures that the company's financial obligations are met and supports the overall financial health of the organization.

 

Responsibilities

 

1. Invoice Processing

 

Key Tasks:

 

  • Review and verify invoices and check requests.
  • Sort, code, and match invoices.
  • Set invoices up for payment.
  • Enter and upload invoices into the system.

 

2. Payment Processing

 

Key Tasks:

 

  • Prepare and process electronic transfers and payments.
  • Prepare and perform check runs.
  • Post transactions to journals, ledgers, and other records.
  • Reconcile accounts payable transactions.

 

3. Vendor Management

 

Key Tasks:

 

  • Monitor accounts to ensure payments are up to date.
  • Research and resolve invoice discrepancies and issues.
  • Maintain vendor files.
  • Correspond with vendors and respond to inquiries.

 

4. Reporting

 

Key Tasks:

 

  • Produce monthly reports.
  • Assist with month-end closing.
  • Provide supporting documentation for audits.

 

5. Compliance & Controls

 

Key Tasks:

 

  • Ensure compliance with company policies and procedures.
  • Maintain accurate historical records.
  • Assist with implementing and maintaining internal financial controls and procedures.

 

Qualifications

 

For this role, we are looking for an individual with:

 

  • An Associate's degree in accounting, or a related field.
  • A minimum of 2-3 years of experience in accounts payable or general accounting.
  • Strong organizational and time management skills.
  • Attention to detail and accuracy.
  • Proficiency in MS Office, particularly Excel.
  • Experience with accounting software (e.g., QuickBooks, SAP).
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.

 

Estimated Salary: $60,000 - $80,000 per annum, depending on experience.

 

Work Environment

 

This is a full-time position, based at our Company HQ, with standard business hours and occasional extended hours as required to meet deadlines.
