Job Summary:

Vaco is seeking a detail-oriented and experienced individual for the position of Customer Service Coordinator in the Industrial Chemical Market. In this role, you will be responsible for maintaining customer relationships, ensuring accurate order processing, and coordinating logistics for product shipments.

Key Responsibilities:

  • Maintain a Safe and Efficient Work Environment: Ensure a zero lost time injury record within the area of responsibility by adhering to safe working conditions and practices.
  • Verify Customer Pricing and Terms: Confirm customer pricing and terms of sale and maintain customer quotations, summary billing setup, and rebates in the Enterprise Resource Planning (ERP) system.
  • Communicate with Sales Team: Collaborate with the Sales group to ensure customer pricing and requirements are correctly input into the Customer Relationship Management (CRM) system.
  • Obtain Sales Approval: Obtain Sales approval for product quality deviations when necessary.
  • Coordinate Freight Forwarding: Coordinate with Freight Forwarders for arranging cargo bookings with ocean carriers.
  • Prepare Import and Export Documentation: Prepare all import and/or export documentation required for an order transaction.
  • Follow up on Shipments: Follow up with transportation suppliers to ensure orders are shipped as scheduled.
  • Process Returns and Credits: Process returns, credits, and debits in the ERP system.
  • Monthly Consumption Billing: Perform monthly consumption billing functions for consignment accounts.

Requirements:

  • Education and Experience: High School Graduate or equivalent with a minimum of 5 years of experience in Customer Service, export transportation, or international business.
  • Skills and Abilities: Excellent communication, organizational, and interpersonal skills are essential. Computer software proficiency with automated sales systems is required.
