Position Overview:

In the role of Project Coordinator, your primary focus will be on providing exceptional client service while assisting in the programming, planning, and execution of capital projects. This position will involve managing facility infrastructure, capital improvements, expansions, renovations, and various high-value maintenance and repair initiatives. Key Responsibilities:

  • Support Project Managers and Project Control across multiple projects throughout all construction phases.
  • Organize and coordinate meetings, including the setup and breakdown of conference facilities.
  • Oversee the monitoring, review, and filing of RFIs, field orders, logs, and submittals related to projects.
  • Assist with financial data entry, including processing NOCs, PCOs, COs, and contracts, while developing spreadsheets for both internal and external assessments.
  • Prepare various written materials such as correspondence, reports, procedural guidelines, and instructions.
  • Track essential information and aid in the delivery of project administration outputs (e.g., meeting minutes, schedule updates, closeout activities) while following up on action items.
  • Assist Project Managers with bid packages and advertising across different platforms, as well as in the preparation and management of bid, contract, and construction documentation.
  • Facilitate the uploading of financial and project management records (e.g., invoices, drawings, schedules) and ensure all project-related paperwork is current and properly organized.
  • Develop, manage, and circulate the bid calendar.
  • Maintain daily interactions and relationships with vendors, designers, general contractors, architects, and client personnel regarding various construction project tasks.
  • Assist in monitoring the schedule of the general contractor.
  • Coordinate the change order process as necessary and help manage punch list and project close-out activities, including project acceptance and completion.
  • Support the collection of closeout documentation for all projects, assisting both Project Managers and the Senior Controller in the preparation and review of final waivers, As-Builts, warranties, and closeout letters.
  • Assist Project Managers in generating weekly and monthly progress reports for management review.
Essential Attributes:
  • Experience in a construction project environment with a focus on deadlines, applicable to both public and private sectors.
  • Strong understanding of the construction project lifecycle with robust administrative skills for organizing and maintaining related documents such as plans, contracts, technical specifications, and invoices.
  • Ability to interpret and comprehend construction contracts and documentation.
  • Excellent interpersonal skills to effectively collaborate with a diverse range of personalities, including clients and internal/external professional teams.
  • Knowledge of construction projects, schedules, budgets, and materials.
  • Experience in tender/bid procurement processes.
  • Exceptional communication skills, both verbal and written.
  • Proficient technical skills related to project management software.
Qualifications & Experience:

Required Qualifications:
  • Minimum of 3 years of experience in Construction Project Management assistance, particularly in capital projects within public and private sectors.
  • Strong organizational skills for managing project administration files, drawings, contracts, and schedules.
  • Bachelor's Degree or equivalent experience in Construction, Engineering, Project Management, or a related field.
  • Proficient in project management software, including PM Web, P6, MS Projects, and MS Office.
  • Ability to manage client and stakeholder relationships effectively.
  • Experience collaborating with both internal and external teams.
Preferred Qualifications:
  • Experience working alongside construction project teams.
  • Strong knowledge of health and safety regulations.
  • Proficient in project management software.
