Job Title: Music Operations Coordinator
At Community Music School, we are seeking a detail-oriented and highly organized Music Operations Coordinator to join our team. This part-time role is essential in ensuring smooth day-to-day operations while delivering exceptional customer service to students, families, and staff.
The ideal candidate will have strong interpersonal and communication skills, a passion for working in a dynamic, fast-paced environment, and a proactive attitude. If you're a team player with at least 1 year of administrative experience and a keen eye for detail, we encourage you to apply. Knowledge of Google Suite and an interest in music are a plus.
We offer a competitive hourly rate of $17 per hour and a comprehensive benefits package, including paid vacation time and retirement savings plan with employer matching contribution.
Job Responsibilities:- Manage the front desk; grant building access to students and families; assist with checking students in/out; mark and monitor attendance
- Collect unpaid tuition and fees in online scheduling and billing system (cards only; no cash)
- Provide clear and efficient communications via phone, email, and online system
- Communicate with students, parents, teachers, and staff regarding inquiries, student/teacher scheduling changes, and student billing; direct calls and emails to the appropriate staff member as needed
- Collaborate with the operations team to coordinate schedules for new students; provide support throughout the students' enrollment process and lifecycle
- Support student and family retention by following through with timely matters, maintaining a respectful attitude, and establishing rapport
- Ensure compliance with CMS policies and procedures
- Assist with CMS recitals and other student programs such as Gala Recital Auditions and Certificate of Achievement in Piano Evaluations (occasional Saturdays/Sundays): manage student check-in and ensure compliance with performance timeline, assist with front-of-house operations, capture student portraits
- Co-staff the CMS booth/pop-up tent at local community events as needed (occasional weekday or weekends, minimal travel required): promote CMS offerings, manage student raffle, and assist with instrument petting zoo
- Monitor CMS private event rentals as needed (occasional weekends): manage building access for hosts and guests, assist with facility-related needs for the event such as host setup/cleanup, enforce event rental policies, and submit post-event report to program coordinator
Required qualifications include an Associate's degree in business administration or related field, minimum of 1 year of administrative experience, excellent customer service, and technology skills. We also value applicants with knowledge of Google Suite and an interest in music.
