Job Description

We are seeking a detail-oriented and organized Financial Operations Coordinator to manage various administrative, financial, and HR functions. This role ensures the smooth operation of our commercial projects and maintains accurate financial records.

Key Responsibilities:
  • Billing: Prepare and send invoices to commercial clients; knowledge of AIA billing is preferred.
  • Accounts Payable: Enter payables, manage the payable schedule, and assign materials to projects for job costing.
  • Bookkeeping: Enter transactions in QuickBooks Online (QBO), categorize appropriately, and close out books at the end of each month.
  • Payroll: Collect hours, process payroll, and assign hours to jobs for accurate job costing.
  • HR Support: Serve as the point of contact for employee questions about health insurance, 401k, and PTO policies.
  • Software Expertise: Knowledge of Service Titan is a strong plus.
Required Skills and Qualifications

To be successful in this role, you should have:

  • Proven experience in bookkeeping, payroll, and billing (AIA experience is a bonus).
  • Familiarity with QuickBooks Online and job costing principles.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks efficiently in a fast-paced environment.
  • Effective communication skills and a customer-service mindset.
