The Omni Bedford Springs Resort is seeking a highly organized and detail-oriented Administrative Assistant to join our Retail & Recreation team. As a key member of our team, you will provide administrative support to the Retail & Recreation Department, ensuring seamless operations and exceptional guest experiences.

Responsibilities:

  • Provide administrative support to the Retail & Recreation Department, including general office administration, office supply inventory, file maintenance, and typing duties.
  • Complete MOS audits for the Retail & Recreation department, ensuring accuracy and attention to detail.
  • Remain alert, courteous, and helpful to guests, vendors, and fellow associates at all times, providing exceptional customer service.
  • Practice safety standards and report any unsafe conditions to the Retail & Recreation Manager.
  • Assist with weekly orders and inventory control, ensuring accurate and timely processing.
  • Keep R&R Leadership informed of all complaints, emergencies, or unusual situations, providing timely updates and resolutions.
  • Ensure high-level interdepartmental communication by serving as a liaison between the R&R team and other departments throughout the Resort.
  • Maintain service standards and promote a high level of guest service and teamwork for all employees.
  • Practice excellent telephone etiquette at all times, providing a positive and professional experience for guests and colleagues.
  • Direct staff to the appropriate location for assistance with any problems that may occur, ensuring efficient and effective resolution.
  • Perform Birchstreet, Yellow Dog, and other administrative duties as determined by the Manager.
  • Respond to any reasonable task assigned by the Manager, demonstrating flexibility and adaptability.
  • Assist with special projects as needed, demonstrating a willingness to learn and grow.

Requirements:

  • High school graduate or equivalent.
  • Previous administrative background, with a strong focus on customer service.
  • Must have very strong computer skills, including advanced proficiency in Microsoft Office programs, Internet research, and the ability to quickly learn new software.
  • Ability to work in a fast-paced environment, with strong organizational skills and the ability to multi-task.
  • Friendly, energetic personality, with a passion for delivering exceptional guest experiences.
