The Financial Operations Associate will be responsible for assisting with the processing of two and three-way match invoices, following up on vendor statements for missing invoices.

This role includes filing, performing data entry, processing credit card transactions, gathering receipts, and completing other duties as assigned.

Key Responsibilities:

Accounts Receivable:
  • Process transactions related to Accounts Receivable, including billing customers and attaching all supporting documents to each invoice, filing by customer name.
  • Provide invoices and/or any necessary documents requested from customers when needed.
  • Process cash, check, and credit card payments from customers.
  • Accurately post all cash receipts on a daily basis.
  • Process credit applications for new customers.

Accounts Payable:
  • Conduct three-way matching of vendor packing slips, receipts of goods/P.Os, and invoices.
  • Obtain proper approvals for vendor invoices.
  • Post vendor invoices and credit card statements.
  • Send weekly credit card statements to department managers.
  • Maintain all team members' credit card receipts and accounts.
  • Assist the Accounts Payable Manager with assorted duties.

General Ledger Accounts:

Responsible for balancing and analyzing all accounts, including but not limited to Accounts Receivables, Customer Deposits, Unbilled, AR Allowance, Bad Debt, Intercompany, AP Expenses, Fixed Assets, Warranty, and Inventory. Maintain a monthly summary schedule of the aforementioned accounts.


Week/Month End:
  • Balance to trial balance on a weekly basis and, at month-end, before closing the month.
  • Provide monthly reports to the Assistant Controller on the above-mentioned accounts.
  • Participate in month-end system closing.

Other Duties:
  • Communicate with other accountants and supervisors.
  • Respond promptly to all emails and voice messages.
  • Complete special assignments as requested.

Required Education and Experience:
  • High school diploma or equivalent with a combination of experience.
  • Minimum of 3 years in an accounting function.
  • Strong math and detail-oriented skills.
  • High ethical standards and professionalism, as this role involves significant responsibility for banking and bookkeeping.
  • Familiarity with computer technology and knowledge of various software programs related to the field.
  • Ability to interact well with others.

Work Environment:

This job operates in a clerical office setting, routinely using standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.


Position Type/Expected Hours of Work:

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.


Additional Eligibility Qualifications:

Must pass a background check and drug test.


Physical Demands:

No team member is permitted to lift more than 50 pounds without assistance or the use of lifting equipment.
