We are seeking a highly skilled and experienced Office Manager to join our team at Spectrum Search Assoc. Inc. in West LA. As an Office Manager, you will be responsible for overseeing the day-to-day operations of our real estate office, including bookkeeping, accounts payable, accounts receivable, payroll, and banking.

Key Responsibilities:
  • Bookkeeping: Record and review daily Quickbook entries, including credit card and bank transactions, invoices, and other financial documents.
  • Invoices and Accounts Payable: Review incoming vendor and supplier invoices for accuracy and obtain project manager approval. Manage accounts payable and ensure timely payment to subcontractors and vendors.
  • Accounts Receivable: Manage accounts receivable, send customers progress payment requests, and review aging reports with the owner.
  • Payroll: Receive weekly timesheets from construction supervisors and send them to the bookkeeper for entry. Oversee and run bi-weekly pay for all staff and independent contractors.
  • Work Orders: Review and oversee the work order process, ensuring timely completion and accurate billing.
  • Banking: Oversee monthly bank reconciliations to ensure accuracy of transactions and bank balances.
  • Insurance: Manage our extensive insurance portfolio, including auto insurance, commercial liability, workers' compensation, and property management insurance.

Requirements:

  • Real estate office experience
  • Proficiency in Quickbooks
  • Bookkeeping experience
  • Ability to multitask and manage multiple projects
  • Excellent communication and organizational skills

What We Offer:
