We are seeking a highly skilled and experienced Office Manager to join our team at Spectrum Search Assoc. Inc. in West LA. As an Office Manager, you will be responsible for overseeing the day-to-day operations of our real estate office, including bookkeeping, accounts payable, accounts receivable, payroll, and banking.
Key Responsibilities:- Bookkeeping: Record and review daily Quickbook entries, including credit card and bank transactions, invoices, and other financial documents.
- Invoices and Accounts Payable: Review incoming vendor and supplier invoices for accuracy and obtain project manager approval. Manage accounts payable and ensure timely payment to subcontractors and vendors.
- Accounts Receivable: Manage accounts receivable, send customers progress payment requests, and review aging reports with the owner.
- Payroll: Receive weekly timesheets from construction supervisors and send them to the bookkeeper for entry. Oversee and run bi-weekly pay for all staff and independent contractors.
- Work Orders: Review and oversee the work order process, ensuring timely completion and accurate billing.
- Banking: Oversee monthly bank reconciliations to ensure accuracy of transactions and bank balances.
- Insurance: Manage our extensive insurance portfolio, including auto insurance, commercial liability, workers' compensation, and property management insurance.
Requirements:
- Real estate office experience
- Proficiency in Quickbooks
- Bookkeeping experience
- Ability to multitask and manage multiple projects
- Excellent communication and organizational skills
What We Offer:
- Salary range $90-$100,000 per year based on experience
