At Numotion, we are seeking a highly skilled and customer-focused Customer Care Coordinator to join our team. Key Responsibilities:
  • Provide timely and professional responses to customer inquiries via phone, email, and other communication channels.
  • Process new orders accurately and efficiently, ensuring all necessary documentation is complete and up-to-date.
  • Schedule evaluations and equipment adjustments with referrals and clients, ensuring seamless coordination and communication.
  • Upload order files for ATPs, confirm evaluations, and check in uploads after the evaluation.
  • Request, collect, and review order documents, including Functional Mobility Evaluation (FME), Letter of Medical Necessity (LMN), and chart notes.
  • Keep the team informed of order processing status, ensuring timely updates and communication.
  • Track equipment to ensure receipt before scheduled delivery, coordinating with clients as needed.
  • Communicate with clients regarding coverage, deductibles, and financial responsibility.
  • Conduct research on related equipment on vendor websites, staying up-to-date on product information.
  • Collect and process payments for out-of-pocket amounts, reconciling deliveries and moving orders to billing.
  • Provide monthly delivery forecasts, ensuring accurate and timely communication.
  • Handle all physical mailouts, including no-contact letters and copies of delivery paperwork to clients.
  • Maintain doctors and therapists' contact information and related data.
Requirements:
  • High School diploma/GED required; Associates degree preferred.
  • Minimum three years of relevant experience in a fast-paced office environment highly preferred.
  • Positive, customer-focused approach, with excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite, with experience in optimizing efficiency using technology.
  • Ability to work in a fast-paced environment, juggling multiple priorities and deadlines.
  • Ability to think quickly, assess situations, and make sound decisions.
Physical Requirements:
  • Ability to meet essential functions of the position with reasonable accommodations as necessary.
  • Prolonged periods of working at a desk and/or on a computer.
  • Ability to work overtime as needed.

This hybrid position requires working on-site 3 days per week.
