Job Overview

Position Title: Project Administrator

Location: West Valley City, UT

Contract Duration: 1 Year

Work Schedule: Monday to Friday, 8:30 am - 5:00 pm (Overtime may be required)

We are seeking a meticulous and results-driven Project Administrator with over 4 years of experience to oversee critical functions related to the CJIS Personnel Security background screening process.

This hybrid role necessitates in-office presence three days a week, with the option for remote work on the remaining days.

Position Details:

This role is initially temporary for a minimum of one year, with potential for transition to a permanent position.

Additional security requirements include: Criminal Justice Information Services (CJIS) Background Check. Candidates must successfully pass the CJIS Personnel Security Background Check.

Training Duration: 3 months before independent work is expected.

Interview Process: One panel interview conducted via Google Meet with camera on.

Key Responsibilities:

  • Oversee daily operations related to the CJIS Personnel Security background screening process.
  • Manage sensitive and confidential Personally Identifiable Information (PII).
  • Ensure timely and precise data entry throughout the background screening approval process.
  • Support internal CJIS team members to facilitate contractor engagement with Criminal Justice Agency clients.
  • Familiarize with Livescan machine operations or complete paper fingerprint cards as an alternative.
  • Maintain records, track data, and manage credentialing documentation workflows.
  • Communicate updates to clients and generate reports on project personnel.
  • Assist clients and team members during CJIS audits of project staff.
  • Request, validate, and securely store photographic ID cards for applicant identification per FBI/state standards.
  • Learn to roll/scan clear and acceptable fingerprint impressions.
  • Conduct daily tasks including maintaining employee profiles, data entry, follow-ups, and assisting with shipping logistics.
  • Record associated expenses in accounting systems and set up training accounts for employees.
  • Generate statistical reports as needed.
  • Assist remote employees in finding local fingerprint processing options.
  • Uphold a professional office environment and ensure the security of credentialing documents.

Qualifications & Skills:

  • Proficient data entry skills.
  • Strong verbal and written communication abilities.
  • Capability to work under tight deadlines and manage high-volume workloads.
  • Proficiency in PowerPoint/Google Slides, Excel/Google Sheets, Microsoft Word/Google Docs, MSFT One Drive/Google Drive.
  • Familiarity with public safety offerings and CJIS Security Policy is advantageous.
  • Experience with CJIS Manager software is a plus.
  • Ability to learn and utilize software for processing fingerprint cards or electronic submissions.
  • Knowledge of CABEM and CJIS Manager assistance is beneficial.
