Position Summary
The Facilities Department is tasked with overseeing the daily functions of CPS schools, modular units, annexes, and administrative offices. This department ensures that all district facilities are maintained in a clean, secure, and comfortable environment.

The Substitute Coordinator will report directly to the Facilities Staffing Manager and will be responsible for managing the Frontline substitute software system.

Key Responsibilities
The Substitute Coordinator will be accountable for the following duties:

  • Maintain and update databases within Frontline, including but not limited to: benefit day balances, assignments, custodial rosters, and principal assignments.
  • Oversee the school assignments of custodial staff within the Facilities Application of the Oracle Enterprise Asset Center (EAC) database.
  • Engage with stakeholders through various communication channels in a professional manner.
  • Serve as the primary contact for incoming inquiries from substitute staff, addressing questions and resolving issues related to Facilities HR processes.
  • Coordinate daily assignments for Roving Custodians, ensuring compliance with established cleaning protocols and schedules.
  • Report any system issues that may impact departmental standards.
  • Perform additional duties as required.

Qualifications
Education:
High school diploma or GED equivalent is required; a Bachelor's degree from an accredited institution is preferred.

Experience:
Minimum of two years in customer service, including at least one year in custodial, HR, dispatch, or a related field. Proficiency in technology, including computers and multi-line phone systems, is essential. Familiarity with MS Office Suite (Word, Excel, Access, PowerPoint, and Outlook) and Google Suite is preferred. Bilingual skills (Spanish) are advantageous.

Employment Conditions
As a requirement for employment with Chicago Public Schools (CPS), employees must establish and maintain residency within the geographic boundaries of the City of Chicago within six months of their hire date. This residency requirement does not apply to temporary or part-time positions, but all CPS employees must reside in Illinois.

Additionally, employees are required to be fully vaccinated against COVID-19, unless exempted for medical or religious reasons. Proof of vaccination must be submitted within 30 days of hire.
