Job Description

We are seeking an Executive Support Professional to join our team at Inframark.

Job Summary:

  • The ideal candidate will provide administrative support to a moderately skilled executive, ensuring seamless daily operations and high-level communication.
  • This role requires exceptional organizational skills, attention to detail, and the ability to maintain confidentiality.

Key Responsibilities:

  1. Manage the workflow of a specific department or team, prioritizing tasks and deadlines to meet objectives.
  2. Answer and direct phone calls, including distribution of off-hours messages, ensuring timely responses and maintaining a professional demeanor.
  3. Assist and direct guests, clients, and customers for meetings, appointments, and services, providing exceptional customer experiences.
  4. Perform general office support duties, including copying, filing, mailing, and faxing; maintaining office directories and filing systems; managing office supplies.
  5. Schedule meetings, book conference rooms, and assist in meeting support, ensuring seamless coordination.
  6. Prepare basic correspondence (email, letter, etc.) as directed by the executive and team members, demonstrating excellent writing skills.
  7. C coordinate catering for events, showcasing organizational abilities and attention to detail.
  8. Assist the executive with special projects as needed, demonstrating adaptability and a willingness to learn.

Requirements:

  • High School Diploma or GED and 2-3 years related experience.
  • Intermediate proficiency with Microsoft Office applications & internet.
  • Working knowledge of Concur & expense tracking, as well as CMMS, CAD, and Hansen (may vary).
  • Advanced math skills, including debits & credits.
  • Working knowledge of post office protocol, bulk mail processing, work order systems & handling.
  • Working knowledge of accounting functions, including payroll, purchasing, and month-end close.

Salary: $45,000 - $60,000 per year, depending on experience.
