Job Summary

Greenberg Traurig, a leading global law firm, is seeking a highly organized and detail-oriented Records Clerk to join our Records Management Department in Phoenix. As a key member of our team, you will be responsible for maintaining client records for both on-site and off-site storage, ensuring accurate and efficient filing, and providing exceptional customer service.

Key Responsibilities
  • Maintain, update, and create records and electronic files as necessary
  • Answer questions regarding records and files
  • Generate and print file identification labels
  • Index materials for filing and enter information into Records database
  • Eliminate outdated or unnecessary materials by destroying or transferring them to inactive storage according to file maintenance guidelines and/or firm's legal requirements
  • Enter document identification codes into systems to determine locations of documents to be retrieved
  • Locate and retrieve information from files in response to requests from authorized users
  • Perform periodic inspections of files to ensure correct placement, legibility, and proper condition
  • Place files into storage receptacles such as file cabinets, boxes, bins, or drawers according to identification information
  • Track materials removed from files to ensure that borrowed files are returned
  • Gather materials to be filed from departments and employees
  • Coordinate pick-up and delivery with off-site storage vendor
  • Assist with office moves and movement of files
  • Perform other general administrative duties as assigned
Requirements and Qualifications
  • A minimum of one to two years of prior records experience required, preferably in a law firm
  • Candidate must have a working knowledge of records management databases as well as records policies and practices
  • The ability to work full-time with flexibility for overtime
  • Computer proficiency in Microsoft Work, Outlook, and Excel is required
