Position Overview

The Customer Service Assistant plays a crucial role in managing inquiries and directing them to the appropriate personnel or email systems. This position involves greeting visitors, notifying staff of arrivals, and handling communication through telephone systems. The role also includes managing the flow of incoming and outgoing mail, entering orders into the ERP system, and providing clerical support as necessary.

Key Responsibilities

  1. Efficiently triage email inquiries through the company email system, directing them to Inside Sales, Customer Service, or other relevant departments.
  2. Utilize the ERP system to provide updates on quotes and order statuses when required.
  3. Act as the Receptionist by managing phone calls from customers, vendors, and employees, responding to emails in a timely manner.
  4. Maintain a clean and welcoming reception area by adhering to established procedures and regulations.
  5. Assist in resolving product and service-related issues between customers and internal resources.
  6. Develop a comprehensive understanding of Dynatect products and collaborate with international subsidiaries as needed.
  7. Contribute to team efforts by completing related tasks as requested.
  8. Run key performance indicators (KPIs) and other metrics to support Sales Leadership.
  9. Assist with quoting, order entry, returns, and approval processes as necessary.
  10. Participate actively in meetings and initiatives aimed at continuous improvement.
  11. Manage all incoming and outgoing postal mail, including scanning documents and maintaining visitor logs.
  12. Perform miscellaneous duties as assigned within the department and company.

Basic Education Required

High School Diploma or GED

Knowledge & Skills Required

  • Regular attendance is essential for this role.
  • Experience with data entry in an ERP or database system is preferred; typing speed of 50 WPM is desired.
  • Strong organizational and interpersonal skills are critical, with a focus on meeting deadlines.
  • Effective and professional communication skills within the organization are necessary.
  • Ability to multitask, analyze, and maintain confidentiality is important.
  • Proficiency in Microsoft Office Suite, including Word and Excel, is required.
  • Excellent telephone etiquette and active listening skills are essential.
  • Strong oral and written communication skills demonstrated through various forms of interaction.
  • Ability to operate telephone software for call management.
  • Self-motivated and results-oriented with a focus on quality and business growth.

Basic Experience Required

High School diploma or equivalent. Previous experience in customer service or telephone support is preferred. A proven record of stable work history and good attendance is essential. Accurate data entry skills and familiarity with ERP/MRP systems are advantageous.
