The Awards Program Coordinator plays a crucial role within the Awards Program and its associated events and ceremonies. This position involves supporting the Awards department and the wider Awards Committee by coordinating data management, overseeing program administration, and executing project management tasks. The role demands meticulous attention to detail and a commitment to timeliness. The Awards Program Coordinator must exhibit proactivity, adaptability, discretion, and strong problem-solving capabilities.
Key Responsibilities
Responsibilities encompass, but are not limited to:
- Assisting the Awards team with extensive calendar management, including scheduling meetings and follow-ups with various internal and external stakeholders.
- Collaborating independently and as part of a team on designated projects, ensuring the Awards team has the necessary tools to plan, coordinate, execute, and evaluate ongoing award initiatives.
- Managing and directing a high volume of correspondence and emails efficiently.
- Responding to inquiries and public-facing communications regarding the annual JBF Awards.
- Working with the Awards Manager to maintain updated contact lists for subcommittee members and judges.
- Compiling and organizing information into databases, spreadsheets, and analytical tools, and preparing visual presentations from this data.
- Creating, reviewing, and standardizing correspondence templates used in the Awards processes.
- Updating and maintaining filing systems and tracking administrative documents for future cycles, ensuring accuracy in all data related to the awards function.
- Fulfilling internal and external requests for Awards data.
- Participating in the screening of entries for the annual Awards, including tracking, deduplication, and preparation for meetings.
- Supporting the team with orders and shipments related to the Awards, including tracking lists of items and deliveries.
- Assisting in the creation and design of surveys, along with reporting on the findings.
- Working closely with the team to submit and track Awards-related payments and honoraria.
- Proactively researching and developing systems for continuous improvement of information flow for the VP of Awards and the Awards team, serving as a liaison for administrative support across the organization.
- Providing general administrative support, including onboarding assistance for consultants and freelancers, and managing documents.
- Assisting in the preparation of presentations and other materials for Awards programs.
- Conducting research for ad hoc projects or assignments as needed.
Qualifications
To excel in this role, candidates should possess the following core competencies and personal attributes:
- 2-3 years of professional experience in an office setting or managing data-centric tasks.
- Proven ability to plan and organize projects effectively.
- Exceptional verbal and written communication skills.
- High proficiency in various software applications (Microsoft Outlook, Word, Excel, PowerPoint, Teams; survey tools, Zoom, Award Force, Salesforce, Monday, etc.).
- Demonstrated ability to utilize online resources and data tools for information retrieval and entry.
- Commitment to excellence and high standards in all tasks.
- Strong initiative and a self-starter mentality with a desire to learn across diverse areas.
- Excellent organizational, problem-solving, and analytical skills; capable of managing priorities and workflow.
- Adept at prioritizing tasks, managing multiple assignments, and functioning independently.
- Ability to interact effectively with individuals at all organizational levels.
- Sound judgment with the capacity to make timely and informed decisions.
- Flexibility and willingness to adapt to changing priorities with enthusiasm.
Compensation and Benefits
The salary range for this position is $55,000 - $58,000.

Work Schedule
The Foundation currently operates on a hybrid schedule requiring employees to be present in the NYC office two days per week. This position is not eligible for relocation.
