NATURE OF WORK
Under limited supervision, this role involves performing a variety of complex legal secretarial and administrative tasks. The individual will have specific responsibilities within the department.

Key Responsibilities

- Format and draft correspondence, memoranda, and legal documents for attorney review and approval.
- File documents with relevant courts or entities.
- Prepare and manage sensitive legal documents and communications.
- Verify and complete legal records, forms, and documents.
- Assist in compiling statistical and financial reports related to grant expenditures.
- Contribute to budget preparation processes.
- Support attorneys in trial and hearing preparations.
- Manage case openings and closures, ensuring all related documentation is accurate and complete.
- Monitor case progress to ensure timely resolution.
- Input data into legal databases and systems.
- Provide administrative support as needed.
- Arrange travel for witnesses and victims when necessary.
- Schedule meetings and appointments, maintaining attorney and court calendars.
- Transcribe notes and recordings from meetings and interviews.
- Organize and maintain office records and files.
- Sort, index, and retrieve legal forms and documents.
- Regular attendance is essential.
- Perform additional duties as assigned.

Experience and Education
High School Diploma or GED equivalent; AND three (3) years of relevant experience as a legal secretary; OR four (4) years of experience in administrative or office roles; OR an equivalent combination of education and experience.

Special Requirements: Litigation experience is preferred.

Knowledge, Skills, and Abilities
- Knowledge of legal principles, procedures, and terminology.
- Proficiency in English, including spelling, punctuation, and grammar.
- Ability to prioritize and manage multiple tasks in a fast-paced environment.
- Competence in document preparation and report generation.
- Experience with office equipment and software.
- Strong communication skills, both verbal and written.
- Capacity to maintain confidentiality and establish effective working relationships.

Working Environment
This position involves occasional lifting and physical activity, with a typical distribution of 60% sitting, 20% walking, and 20% standing. The role is performed in a controlled environment with minimal temperature variations.
