Job Summary

We are seeking a highly skilled Front Office Assistant to support our team at AES Management Inc.

The ideal candidate will be responsible for handling various administrative tasks and providing support across multiple departments.

Responsibilities:

  • Greet and assist visitors in a professional manner, ensuring a positive first impression of the company.
  • Answer and direct phone calls using a multi-line phone system, effectively managing communications and prioritizing tasks.
  • Schedule appointments and maintain calendars, ensuring seamless coordination and minimal disruption.
  • Assist with event planning and coordination, utilizing strong organizational skills and attention to detail.
  • Perform clerical duties such as filing, photocopying, and scanning documents, maintaining accurate and up-to-date records.

Salary Range: $45,000 - $55,000 per annum

Requirements

  • Proven experience in an administrative role is preferred, with a strong track record of delivering results.
  • Proficiency in phone systems and office equipment operation, with a high level of technical competence.
  • Knowledge of event planning procedures is a plus, allowing for more complex and sophisticated events.
  • Strong clerical skills with attention to detail, ensuring accuracy and precision in all tasks.
  • Ability to proofread documents accurately, detecting and correcting errors with ease.
  • Capability to file and organize documents efficiently, maintaining a well-structured and easily accessible filing system.
  • Experience in transcribing information effectively, conveying complex ideas with clarity and precision.
  • Familiarity with medical or dental receptionist duties is advantageous, demonstrating an understanding of the industry and its nuances.
  • Excellent computer literacy with proficiency in MS Office suite, including Word, Excel, PowerPoint, and Outlook.
