Position Overview:

This role is integral to the procurement process, providing essential support for the acquisition of office supplies requested by staff. The responsibilities include ensuring that all items are delivered in the correct quantities and that pricing is accurately reflected through the reconciliation process. Additionally, this position will oversee catering orders, verifying that all necessary documentation is received and processed appropriately.

Key Responsibilities:

  • Manage and process all orders through the designated procurement portal, ensuring compliance with university policies.
  • Verify the accuracy and completeness of deliveries from vendors, addressing any discrepancies promptly.
  • Collaborate with Sourcing Specialists to review and approve assigned orders.
  • Ensure timely billing and address any questionable costs with vendors to secure necessary adjustments.
  • Reconcile PCard transactions within the stipulated timeframe, maintaining accurate records for all purchases.
  • Prepare and organize procurement files, ensuring all supporting documentation is complete and ready for audits.
  • Maintain up-to-date Purchase Requests (PRs) and assist in vendor communications for order placements.
  • Collect and document packing slips for all orders to ensure comprehensive record-keeping.
  • Other related duties as assigned.

Qualifications:

  • 1-3 years of experience in procurement within educational or governmental environments.
  • Strong familiarity with PCard usage and the reconciliation process.
  • Proficient in the Oracle Purchase Order module.
  • Ability to manage multiple tasks efficiently while meeting deadlines.
  • Exceptional attention to detail to ensure accurate documentation and timely processing.
  • Strong communication skills, both verbal and written, to interact effectively with various stakeholders.
  • Capable of working collaboratively with internal teams and external vendors.
