Job Summary

We are seeking a highly motivated and detail-oriented Administrative Specialist to join our team in the Houston office. As an Administrative Specialist, you will provide clerical and administrative support to the Office Administrator and assist other Managers in maintaining a positive and productive work environment.

Key Responsibilities
  • Provide administrative support to the Office Administrator, including reconciling invoices, preparing check requests, and processing American Express bills.
  • Maintain Excel spreadsheets for projects and various data, and ensure accuracy and attention to detail.
  • Assist with planning, setup, and breakdown of office-wide special events, including decorating and coordinating logistics.
  • Correspond with vendors and submit vendor and employee conflicts checks.
  • Book conference rooms for Firm meetings and input and delete data in the Firm's centralized security system.
  • Assist with security-related matters, including working with other BB offices to address security issues and training local security support.
  • Perform other administrative tasks as assigned by the Office Administrator and Houston Managers.
Requirements
  • Four-year college degree in General Business or a related field is strongly preferred.
  • A minimum of two to three years of experience in a professional business environment, with a focus on administrative support and excellent communication and organizational skills.
  • Ability to gather data, compile information, and prepare reports, as well as verify data input and correct errors.
  • Ability to communicate effectively, both orally and in writing, and interact with people over the telephone, often in stressful situations.
  • Ability to prioritize, multi-task, and work in a fast-paced environment, with a focus on attention to detail and accuracy.
Working Conditions

This is a full-time, non-exempt position with excellent benefits, requiring a five-day workweek and standard hours as outlined in the Firm's policy manual. The position requires a solid attendance record and the ability to work overtime, including weekend hours, when necessary to meet established deadlines or stay current with occasional peaks in workload.
