Multifaceted Support Specialist

We are seeking a highly organized and detail-oriented Multifaceted Support Specialist to join our team in the Early Learning department. This is a full-time position, working 220 days per year, with a salary range of $19.85-$23.72 per hour, depending on experience.
The primary purpose of this role is to provide comprehensive clerical and administrative support to our assigned administrator and program. Key responsibilities include:
- Clerical Tasks: Maintaining calendars, scheduling meetings, assisting with documentation, correspondence, phone calls, paper and electronic filing, collecting data, meeting minutes, and preparation for meetings.
- Recordkeeping: Independently preparing, maintaining, and disseminating records/files; establishing and updating manual and computerized recordkeeping systems; retaining and retrieving files, data, and related information requiring knowledge of department procedures.
- Communication: Composing, reviewing, editing, and proofreading documents and reports in Word using accurate business English, including composition, spelling, grammar, punctuation, and letter format.
- Fiscal Management: Initiating completion of regularly recurring reports, correspondence, and duties related to the program's fiscal year, processing requisitions, reimbursements, purchase orders, invoices, and reports, including appropriate documentation and assurance of proper approval and account coding using the fiscal software system and intermediate to advanced functions in Excel.
This position requires:
- A high school diploma or GED.
- Bilingual skills in Spanish/English are preferred.
- A valid driver's license.
Additionally, you'll possess:
- High-level communication and interpersonal skills.
- Ability to work independently on complex tasks.
- Excellent verbal and written communication skills.
- Possess organizational skills for optimally prioritizing and managing multiple tasks, demonstrating initiative and problem-solving skills.
- Experience with Microsoft Office Suite and Google Drive.
- Ability to maintain confidentiality and respond sensitively to questions about student, family, and staff matters.
- Solid understanding of spelling, punctuation, capitalization, word usage, and sentence structure of the English language.
- Experience with data entry.
- Ability to compose a finished product from rough copy or verbal instructions.
- Ability to work under pressure and meet tight deadlines.
