Position Overview

Key Responsibilities:

The Administrative Coordinator plays a vital role in supporting the daily operations of the US Sales Leadership team. This position is essential for ensuring seamless coordination of meetings and events while serving as a liaison among customers, sales representatives, and various departments to uphold the organization’s high standards.

Core Duties Include:

  • Deliver comprehensive administrative support for commercial teams, including logistics for onsite meetings and training sessions.
  • Collaborate with cross-functional teams to facilitate training, meetings, and social events.
  • Oversee expense reporting for executives using Concur, which may involve coordinating travel arrangements.
  • Organize offsite meetings and events, working closely with internal travel partners for optimal logistics.
  • Assist in the planning and execution of the annual commercial meeting.
  • Process purchase orders and manage expense reimbursements for sales and marketing teams.
  • Handle administrative tasks such as mailing packages and ordering supplies as needed.
  • Support other administrative staff and assist with ad-hoc projects as required.
Qualifications

Required Skills and Experience:

  • A minimum of 2 years of experience in an administrative role, preferably with a focus on customer service and event coordination.
  • A Bachelor’s degree is preferred.
  • Strong commitment to confidentiality and ethical standards.
  • Proficient in standard office procedures and etiquette.
  • Advanced skills in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Ability to prioritize tasks and manage multiple projects efficiently.
  • Excellent verbal and written communication skills.
  • Exceptional organizational skills and attention to detail.
  • Strong analytical and problem-solving abilities.
