Job Summary

We are seeking a highly organized and detail-oriented Procurement Coordinator to join our team at Project Support Services. As a key member of our procurement team, you will play a critical role in the coordination and management of procurement activities for construction and professional services.

Key Responsibilities:
  • Collaboration & Coordination: Work closely with project management teams to develop and prepare procurement packages for general contractors and professional service providers.
  • Competitive Bidding & Selection Management: Oversee various competitive bidding and selection processes from initial planning to final award, including preparing procurement documents, issuing addenda, managing evaluation materials, and finalizing contract documents.
  • Pre-Qualification Process Management: Manage the pre-qualification processes for professional and construction services firms, including preparing RFQ packages, leading pre-submittal instruction meetings, coordinating RFCs, and reviewing submitted SOQs.
  • Adaptability & Versatility: Be prepared to adapt to changing workload and departmental resources, and to take on additional responsibilities as needed.
  • Compliance & Adherence: Maintain strict adherence to all policies, procedures, templates, and applicable laws, and ensure compliance under the scrutiny of internal and external audits.
  • Reporting & Quality Control: Manage reporting, tracking, and quality control for all assigned procurement processes, ensuring accuracy and completeness at every stage.
  • Concurrent Project Management: Handle multiple procurement processes simultaneously, coordinating with various stakeholders to ensure smooth operations.
Requirements:
  • Experience: 1-3 years of hands-on experience in procurement or a related field, with a strong understanding of procurement processes and procedures.
  • Contract Savvy: A solid understanding of standard contract terms and conditions, and the ability to navigate the complexities of procurement with confidence and clarity.
  • Tech Proficiency: Proficiency in Microsoft Excel, Word, and Adobe Acrobat, with the ability to organize, analyze, and present information with precision.
  • Work Ethic: A reliable, responsive, and positive work ethic, with a strong commitment to integrity and excellence.
  • Quick Learner: A fast learner with a logical mind, able to quickly adapt to new systems and processes.
  • Quality-Focused: A laser focus on quality and accuracy, with a strong understanding of the importance of attention to detail.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to clearly and concisely communicate with stakeholders.
  • Project Management: A strong ability to juggle multiple projects at once, with a keen eye for detail and a commitment to accuracy and completeness.
Preferred Qualifications:
  • Associates Degree: An associate degree in a relevant field, such as business administration or procurement.
  • Project/Program Management Experience: Experience in project or program management, with a strong understanding of project management principles and practices.
  • Electronic Bidding Software: Familiarity with electronic bidding software, with the ability to use this technology to streamline procurement processes.
